Welcome to Australian Wool Innovation, a hub for the woolgrowers of Australia.Job Title: Project Administrator, ResearchDepartment: ResearchReports To: General Manager, ResearchDirect Reports: NilLocation: Sydney OfficePOSITION PURPOSEThe Project Administrator, Research is responsible for assisting with the administration of AWI funded projects and proposals associated with research programs within the On Farm Research portfolio.PRINCIPAL ACCOUNTABILITIESAssist with the monitoring of relevant internal research team deadlines, processes and deliverables related to board meetings and the RDC committee.Coordinate research team meetings and the Animal Welfare Committee, including preparing and distributing agendas, scheduling and sending invitations, setting up meeting logistics, recording accurate minutes or notes, tracking and following up on action items, maintaining organized records, and providing administrative support.Assist AWI staff from other programs and departments with projects relevant to the research team, in particular, delivery of extension activities and maintenance of the AWI Grant Register.Responsible for the effective project administration of AWI funded projects and proposals associated with the on-farm research team portfolio.Monitor project budgets in the on-farm research programs, in liaison with the relevant Program Managers.Monitor allocated projects to ensure they are progressing satisfactorily and keep the relevant Project and Program Manager(s) informed of any concerns.Draft legal documents, including project contracts, consultancies, non-disclosure agreements and purchase orders; this will involve liaison with research providers and with the AWI Contracts & IP team.Liaise with on farm research providers and commercial partners to ensure their obligations to AWI are being met.Maintain on farm research project information in the AWI project management database, including management of project milestones.Review publications in the on farm research-related programs and ensure they comply with the correct AWI publications procedure.Maintain on farm research project information in the AWI project management system, process invoices, carry out filing (hardcopy and electronic); and perform other administrative tasks for the on farm research team as required.Assist with any travel arrangements for AWI on farm research team and external stakeholders as directed.Liaise with AWI staff from other programs and departments to enlist their assistance with On Farm and Off Farm projects and operational matters requested by other departments relevant to the on farm research team.SKILLS AND KNOWLEDGE REQUIREDQualificationsTertiary qualifications in Animal Science, Agricultural Science or a related degree are highly regarded.Technical & Management KnowledgeSolid analytical skills.Working/intermediate knowledge of MS Office suite of products.Experience with SAP would be highly regarded.Knowledge/background in the Australian livestock or sheep industry.Work ExperiencePrevious experience in project administration is essential.Previous experience in contract administration is desirable.On farm work experience is highly regarded.Other Skills & AttributesAbility to work as part of a team, as well as autonomously.Strong communication skills including excellent written and verbal.Demonstrable stakeholder management and relationship skills.Proven ability to influence others.Strong organizational skills.Strong attention to detail.Proven ability to prioritize and meet deadlines.KEY RELATIONSHIPSInternalOn Farm and Off Farm Project & Program Managers.Other Project Officers & Administrators in On Farm and AWI.AWI Finance team.AWI Legal Services and IP team.AWI Marketing team.AWI Communications and Extension team.ExternalAWI funded researchers and consultants.Project and Program Officers/Administrators at other RDCs and industry bodies.Application ProcessIf interested, please apply using the "Apply Now" button above.
