Administrative Assistants (Administration & Office Support)

Moec Pty Ltd is a growing construction contractor that offers pipeline construction and gas gathering services to our clients in the Mining and Oil & Gas Industries in the Surat and Bowen Basin and other sites across Australia.
We are dedicated to achieving high standards of work with a focus on health, safety, environment, and quality.
We are looking for a qualified Project Administrator

with Gas Gathering, Piping, or Buried Services Experience to work on our HDPE Gas Gathering Project in the Surat Basin.
This includes Civil, Welding, Live Excavations, Tie-ins, Testing, and Commissioning.
In this role, you will be responsible for assisting our on-site project crew with but not limited to: Accommodation Management Manage the systems for project accommodation by maintaining accurate accommodation registers and booking details.
Coordinate accommodation arrangements for project personnel.

Procurement and Financial Support Maintain and update the Procurement Register.
Track and follow up on project invoicing and requests for information from Head Office accounts.
Process and manage project-related expenses.

Project Administration and Support Provide administrative assistance to Supervisors, Engineers, and the project team including the procurement of site and project consumables.
Support the projects team with various administrative tasks.
Assist in the development and implementation of mobilisation and demobilisation plans.
Manage the Light Vehicle allocation register and help to organise light vehicle service schedules, ensuring efficient vehicle utilisation.
Maintain inventory of office supplies, Personal Protective Equipment, and consumables, ensuring adequate stock levels.
Collate and submit all crew timesheets to Head Office on a weekly basis.
Attend project meetings and provide updates on administrative matters.

Other Responsibilities Perform other project support duties as required by the Construction Manager and/or Project Superintendent.
Assist with document control and management.
Contribute to a safe and efficient working environment.
Continuously improve processes for project administration.
May be involved in the development and implementation of document templates for the company.
Assist with risk management strategies related to projects.

To be successful, you'll need:

Technical Skills Bachelor's degree in Business Administration, or a related field.
Minimum 3 years of experience in administration, procurement, or a similar role.
Strong analytical and problem-solving skills to identify and mitigate contractual risks.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and contract management software (a plus).

Soft Skills Excellent written and verbal communication skills to effectively communicate with internal and external stakeholders.
Ability to work independently and manage multiple tasks simultaneously while meeting deadlines.
Strong attention to detail and a commitment to accuracy in all aspects of contract administration.
Enthusiasm and Drive: A high level of motivation and a strong desire to achieve positive results collaboratively.
Experience in the Mining or Gas Gathering sector.
Experience with project management methodologies.
Proficiency in additional industry-specific software programs.

Additional requirements A current driver's license and white card.
Ability to work in a team environment and follow safety procedures.
Availability to start work in the next 2-4 weeks and pass a pre-employment medical.
Roster: 18 days on, 10 days off (paid travel on day 1 and day 10 of RnR).
Vehicle provided.
