We are seeking a Team/Project Administrator to assist our growing National Transport team.
This role provides an opportunity to work with an established team delivering engineering consulting services on a range of road & highway, airport, mining, ports and heavy industrial projects and contribute to the growth of the Transport team within Tonkin.
Our ideal candidate would have similar experience gained in a technical consultancy, project, engineering or professional services environment.

About the role
Reporting to the Transport Lead, the Team/Project Administrator provides various document control and administrative services and support to the Transport Team.
As an integral part of the team this role ensures that the administrative functions of the business and projects are coordinated effectively and efficiently.

As the Team/Project Administrator you will:
Maintain document control systems for major project correspondence and documentation Prepare and distribute internal and external correspondence, develop reports and project documentation, document control and records management; Co-ordinate project documentation, project correspondence and project files in accordance with established protocols; Assist project managers in ensuring our Quality Management process is adhered to and documented; Assist in the engagement and administration of subconsultants; Coordinate internal and external meetings, prepare meeting agendas and documentation, develop presentations, compile and distribute meeting minutes; Support client communications, meetings and events; Arrange and coordinate team activities, including attendance at external events; Utilise our project management platform to coordinate project invoicing monthly; Be an active driver of the team culture across the Transport, Finance and wider Tonkin teams.
About you
To be successful in the role, you will ideally possess:
Similar experience gained in a technical consultancy, project, engineering or professional services environment; Document management experience, ideally using platforms such as Aconex and Teambinder; Experience in general administration, reporting and document management including proficiency in MS Office and document management protocols; Excellent interpersonal and communication skills with a service-oriented work ethic; Highly motivated and proactive in managing timelines Demonstrated experience bringing innovative approaches to your work and business process to improve efficiency Strong attention to detail, analytical and written communication skills with the ability to analyse and collate information, prepare project documentation, reports and correspondence; Proven teamwork skills, and internal and external stakeholder management skills; The Tonkin difference:
