Job Description: Full Time, Ongoing RoleParkville LocationProvide high level administrative support to the Director of Clinical Services and Director of Medical WorkforceAbout the Team: Orygen Specialist Program (OSP), a program of the Royal Melbourne Hospital, provides specialist mental health services for young people aged 12 to 25 and focuses on providing early intervention to young people with severe and complex mental illness.
Orygen highly values responsive services for youth in the western and northwestern region of Melbourne.
Orygen programs are guided by evidence-based, culturally-safe and trauma-informed principles incorporating the diverse needs of all young people and families.
Your new role: The Project Administrator will play a key role in supporting medical workforce development projects, ensuring effective coordination and delivery of project-related tasks under the direction of the DCS (Director of Clinical Services) and DMW (Director of Medical Workforce).
This includes managing project documentation, preparing reports and presentations, liaising with stakeholders, and coordinating key activities such as junior medical staff rotations, training, and contract negotiations.
Management and coordination of the daily schedules of the DCS and DMW including planning time for key events, meetings and written submissions.Prepare and distribute documentation and reports, e.g.
agendas, letters, memos, and presentations.Developing, reviewing and negotiating variations to Junior and Senior Medical contracts, Staffing across the Medical Workforce programs.Administration tasks included in the DMW's portfolio (undertaken with the EA to the Program Manager and Deputy Clinical Director).
These tasks cover areas of preparation for junior medical staff rotations, managing on call rosters and medical staff training as well as queries regarding pay and timesheets.Provide administrative support for the delivery of projects under the direction of the DCS and DMW.About you: Comprehensive experience in an administrator position.Excellent interpersonal skills, concise written and verbal communication skills, and professional manner.Demonstrable computer skills with all Microsoft programs, and ability to learn other computer database programs.Ability to handle a variety of complex and confidential situations.Excellent organisational skills to meet deadlines demonstrating initiative, ability to manage multiple priorities in a fast-paced environment and attention to detail.High-level problem-solving skills and an ability to undertake self-directed tasks.Desirable: Demonstrated understanding of and experience working in the public health sector, and with medical workforce.
