As a Procurement Support Officer, you will provide comprehensive operational and administrative support to the procurement section, contributing to the department's financial and procurement operations. You will assist in various procurement and financial management functions, including the creation of purchase orders, managing tenders, and supporting project-related procurement activities.
Key Responsibilities:
Review data in Ellipse and create purchase orders.
Issue works/services tenders, with training provided.
Maintain up-to-date knowledge of legislative and departmental procurement requirements, promoting procurement awareness across the department.
Provide administrative support to the Procurement section, assisting in contract management, financial processing, and project reporting.
Manage and monitor procurement activities, ensuring timely financial payment and delivery of project-related activities.
Assist in the preparation of monthly financial reports, reconciliations, variance analysis, and project budgets.
Establish and maintain positive relationships with internal and external stakeholders.
Maintain controlled document management systems, project monitoring tools, and cost plans.
Assist Project Managers in coordinating governance meetings, preparing briefing notes, and tracking project performance.
Support training programs for procurement systems and participate in continuous improvement efforts for system and procedural enhancements.
Skills Required:
Proficiency in procurement and asset management within SAP.
Experience with ServiceNow or similar ticketing systems.
Strong client service skills, attention to detail, and ability to work in a fast-paced environment with KPIs.
Intermediate Excel skills and a highly computer-literate individual who can handle confidential administrative tasks efficiently.
A proactive, team-oriented approach with the ability to handle enquiries and take initiative in senior staff's absence.
You will play a critical role in supporting procurement operations, project management, and financial reporting, contributing to the overall success of departmental initiatives.
