About the role We are seeking an experienced Practice Manager for our growing team within Rebus Legal. This full-time permanent position will see the Practice Manager overseeing the administrative and operational functions of our firm including but not limited to performing invoicing runs; sending cost retainers out to clients; issuing Trust Receipts to clients.
This is an exciting and challenging opportunity for the right candidate to work alongside the Legal Practice Directors to play an integral part in growing the vision of Rebus Legal. This role will provide support to managing the law firm generally.
You will predominately undertake a diverse range of duties to include, but not limited to:
Management of the day-to-day operations of the law firm; including office organization and record keeping. Managing and handling the budgeting, billing (Invoicing Runs) and financial reporting including reconciliation of ledgers and invoices with payments received. Managing and maintaining the firm's Trust Accounts including daily receipting, investigating irregularities and making payments. Managing and attending to the firm's Annual Trust Audits; and liaising with external Auditors on Trust Account enquiries and provision of information. Arranging for monitoring staff financial performance and providing fortnightly performance reports to the Legal Practice Directors; and fortnightly performance reports to individual staff. Arranging and attending to the emailing or sending out the firm's Costs Retainers to clients including keeping accurate records of retainers sent out; determining when updated cost schedules need to be sent on matters; monitoring client Trust Funds; and requesting Trust Funds from clients. Ensuring administrative consistency with the Firms Legal Software including attending to opening of physical files and electronic files on the legal software. Attending to client accounts enquiries including maintaining positive client relations. Arranging to ensure that all third party invoices are paid and reconciled. Other General Duties include but not limited to: Management of the Firms Marketing Campaigns including liaising with the marketing team; and provision of information. Management of the Firms file Archiving Processes including arranging for files to be recorded in Archive spreadsheets; and sent to Storage warehouses. Attendance of the Firms Recruitment Drives on instruction from the Legal Practice Directors. Management and attendances to the Firms Human Resources functions. Management and attendance of the Firms telephone communication including redirecting calls to relevant persons. Liaising with the Firms Property Manager in relation to all aspects pertaining to the Firms located Property/Properties. Management and attendance to the Firms Stationary and office supply including making purchases as required. Undertaking File Reviews with Lawyers and action tasks. Ensuring administrative consistency within the legal software. Business Development. Liaising with Clients and Services Providers. Assist the Legal Practice Directors as required. Other general administrative duties as required. Skills and Experience: The successful candidate will need to be self-motivated, confident, reliable and willing to work as part of a close-knit team. Your demonstrated skills will include:
A minimum of 2 years demonstrated experience as a Practice Manager or management in similar roles; Strong leadership and training skills; Strong communication, technical drafting, and problem-solving skills; Demonstrated ability to form strong relationships with peers, clients, and fellow stakeholders; Strong administrative experience to provide support and guidance around general administrative and office management duties; High level of organization and time-management skills; Excellent verbal and written communication skills; An understanding of basic accounting practices and numeracy skills; Strong attention to detail.
