The Company Abel Ecology is a specialist company providing an innovative, high quality and professional ecological consulting service to architects, homeowners, planners, surveyors and natural resource and land managers. We are celebrating 33 years in business, during which time extensive expertise has been gained with regard to Environmental Impact Assessments. Our expertise includes Flora and Fauna Reports, Management of Threatened Species, Review of Environmental Factors, Arboriculture (Tree) Reports, Bushfire Attack Level (BAL), Vegetation Management Plans, and as Expert Witnesses in the Land and Environment Court. The company is a professional practice in Springwood with commercial, private and government clients across NSW. We have a regional office in Cooma, NSW also. Position description The role to be shared: • As an office administrator, accounting and IT assistant: (Level 5 Clerk award rates, or by negotiation). • Part time or full time: 30 - 38 hours, with family friendly hours available by negotiation. • Is open to Australian citizens and permanent residents. • Has a six months probation period, then a five year contract. Requirements: • A highly experienced mature administrator for a diverse role supporting the directors and a team of scientists and administrative staff. • Absolute confidentiality. You will not be able to discuss your work outside the office. Our reports are legal documents, which are commercially confidential. • Precise use of English vocabulary and grammar is critical, requiring a high-level attention to detail. • Mature, clear communicator with adaptable social skills for a small team context. • Ability to work autonomously and seek assistance when required. • You must be physically fit and capable of sometimes undertaking field site visits and short-term travel. Roles (three - shared amongst a team): Receptionist/Office administrator; Accounting assistant; IT assistant. Core duties: Office Administrator, Accounts and IT Assistant - (Springwood Office) Various office, administrative and bookkeeping tasks, including: • Daily administration and office upkeep • Invoicing, issuing statements, reconciliation processes • Maintain company insurances and licensing, correspondence and documentation • Secure document management and archiving • General IT support for staff on and off site • Maintain equipment lists and purchase records • Prepare documentation for legal proceedings for Director/s • Manage project files and monitor job progress in Gantt chart and according to milestones: Open, maintain and close jobs in line with tight timeframes and deadlines. • Proofreading technical and legal reports • Deliver reports, as drafts and final issues for submission to determining bodies • Manage documentation and information for quotes • Prepare field survey documentation and equipment supplies Desirable capabilities/experience: • Project management/coordination • Management of WH&S procedures, records, audits • Current First aid certificate • Sound knowledge of Xero or other accounting software • Knowledge/practice of small business legislation • IT administration, networking and security system management • Current NSW manual driver's licence.
