Job Description About the team
The Operations and Service Delivery team, comprising seven specialized units, operates nationally to offer over 50 diverse services to a wide range of internal and external stakeholders, including members, clients, vendors, and staff. Our core mission is to deliver exceptional customer experiences that enhance our brand and amplify our impact.
The Rostering and Scheduling Team plays a crucial role in managing the scheduling of Public Courses, workforce planning, and resource allocation for Courses, Events, and BCMLs, ensuring seamless operations and optimal service delivery.
About the role
As the Planning and Resourcing Partner, you will leverage your strong organisational and analytical skills to drive operational excellence to deliver the planning and allocation of AICD's national programs, courses, and events. You will collaborate closely with the team to oversee the scheduling and coordination of AICD employees and resources. Your responsibilities will include optimising resource allocation and ensuring that all logistical aspects are managed efficiently. By applying your expertise, you will help deliver a consistently seamless and exceptional experience for our members, clients, and guests, contributing significantly to the success of our diverse program delivery platforms and events.
Your remit will be broad and will include:
Oversee the entry of all scheduled courses for members and clients into relevant systems, ensuring accurate booking of onsite rooms and resources.
Source and contract suitable external venues for offsite courses.
Proactively identify and resolve conflicts across schedules and rosters.
Assist the team in forecasting resourcing needs for the Operations and Service Delivery Team.
Manage the weekly rostering of the Operations and Service Delivery Team, ensuring optimal coverage and efficiency.
Prepare and present regular reports on workforce metrics and course scheduling.
Ensure schedules, rosters, and calendars are visible and communicated effectively to all relevant teams within AICD.
Build and maintain strong stakeholder relationships to accurately assess and plan for the resourcing needs of the organisation.
Coordinate schedules to ensure effective delivery of roadshow events and other organisational initiatives.
Serve as the main contact for internal teams to coordinate and schedule policy leadership events and ensure that resources are allocated effectively.
