Our evolution has been significant, growing from a small joint venture to a thriving ASX-listed property group that leads the way in sustainability, innovation, safety, and placemaking.Our opportunityAs Personal Assistant to the Fund Manager, Mandates and Finance, you will provide high-level support to the Fund Manager in both a diary and inbox management capacity, and GM Mandates and GM Finance in a diary capacity, supporting their respective teams as required.This is a 12-month fixed-term opportunity.In this role you will be responsible for:Management of calendars and Fund Manager's inbox, whilst exercising good judgment and professionalism to make decisions and prepare correspondence on their behalf;Acting as a first point of contact for both internal and external stakeholders, establishing strong professional relationships;Calendar management for their wider teams as required;Maintaining high levels of confidentiality and discretion when dealing with sensitive information;Manage purchase orders and the payment of supplier invoices end-to-end for their teams in Basware/Yardi;Process Concur expense claims and reconciliations;Booking travel/accommodation/transfers etc for the teams;Perform various administrative tasks such as printing, booking rooms and desks, organizing catering etc;Assist in the preparation of various internal and external documents such as Board and Committee papers, agendas, taking minutes and briefing pack materials;Assist in onboarding new starters;Assist in arranging various social and team events to promote a positive culture;Assist on business-critical projects with a variety of tasks such as information collation, liaising directly with designers, combining materials, implementing document changes, meetings etc;Support in arranging team activities, lunches, offsites, and events as required.Your point of differenceThe successful candidate will have exceptional administration, time management, and organization skills with strong attention to detail. You are a proactive and efficient individual who can work with conflicting priorities. Knowledge of Microsoft Suite is essential, whilst experience with Concur and Yardi is highly desirable. The role requires you to engage with internal and external stakeholders, as such you will need to have exceptional interpersonal skills and show initiative to help achieve successful outcomes.
