Join us as Personal Assistant supporting Senior Leaders within our Customer Division on a 12 Month MTC basis. Are you a people centric Personal Assistant with a flair for managing complex schedules, coordinating important meetings, and supporting senior executives? This role offers a unique opportunity to work closely with two General Managers, supporting them in driving business growth and maintaining exceptional client relationships. We work flexibly from our Sydney CBD Office where you can expect to work 3 days in the office and 2 days from home. About the team
The Institutional & Offshore Distribution Team is at the forefront of business development, sales, and client service for Challenger Limited's investment products and services. With a diverse team of 25 professionals, we cater to some of Australia's largest superannuation funds and a broad range of international investors. About the Role
As Personal Assistant your role will encompass a wide array of responsibilities, making every day different and exciting. You'll be the cornerstone of administrative support for our General Managers and the wider Institutional Distribution team as required. Being organised and meticulous in the detail will be your superpowers, as well as your ability to forge and build relationships across the business.
Whilst no two days will be the same here's an idea of what you can expect:
Diary Management: You will expertly manage the diaries of our General Managers, ensuring seamless scheduling of meetings, appointments, and preparatory work. You'll anticipate needs, coordinate follow-up actions, and keep everything running like clockwork. General Administration: From managing technology issues to preparing presentations, you'll provide comprehensive administrative support that ensures the smooth operation of the team. Email and Telephone Management: As the gatekeeper of communication, you will screen, prioritize, and manage emails and calls with precision, ensuring that urgent matters are addressed promptly. Travel Coordination: You will handle all aspects of domestic and international travel for the GMs and the team, ensuring every detail is meticulously arranged from flights to accommodations. Expense Management: You will oversee the administration and reconciliation of monthly statements, invoices, and reimbursements, ensuring compliance with company policies and timely submission. Meeting and Event Management: You will organise and manage team meetings, strategy days, and offsites, ensuring that all logistics, materials, and follow-up actions are in place. Project Support: Your role will also involve supporting the team with research projects, data management, and liaising with the Events Team to coordinate institutional events and functions. The skills & experience you'll need
To excel in this role, you'll have a strong background in supporting senior leaders in a Personal Assistant/Executive Assistant/Team Assistant type role or similar. While experience in the funds management industry is a plus, we're also open to candidates from other complex or financial services environments.
You'll be highly skilled in Microsoft Office, particularly in Outlook, Word, PowerPoint, and Adobe Acrobat, with solid Excel skills to manage data and reports.

Logistics & Coordination: You excel at organizing complex schedules and solving logistical challenges efficiently. You've previously coordinated and managed team events successfully. Relationship Building: You naturally build and maintain strong relationships with colleagues and stakeholders. Professionalism & Discretion: You handle sensitive information with confidentiality and professionalism. Organisational Skills: You manage multiple tasks and competing priorities with ease, ensuring timely and high-quality outcomes. Financial Management: You have experience managing budgets and overseeing expenses. Additional Information
