There is an opportunity for an experienced Parish Secretary to undertake reception, administrative and secretarial responsibilities in a part time ongoing role for, reporting to the Parish Priest. The role of the Parish Secretary will be to build solid relationships and work collaboratively to provide support to the Parish Team and parish volunteers.
Our Lady of Mt Carmel Parish, Sunbury has a long history but is a fast-growing community. Together with a core of long-term parishioners the are many new families seeking especially the Sacraments of the church and Catholic education in one of the three parish primary schools.
The successful applicant must be well motivated to work for the Church and ideally possess a strong commitment to its practices and values. He/she must be able to recognise and respect the pastoral aspect of the Parish. The role will be working 18 hours per week, working Monday, Tuesday and Fridays.
Terms and conditions are governed by the Archdiocese of Melbourne.
Key Responsibilities Reception – welcoming all on site visitors and assisting or directing them to where they need to be.Answering incoming telephone calls / voice mail messages and addressing queries or passing them on to Parish Priest or Pastoral Associate.Maintain and keep the Parish Diary up to date daily.Prepare the weekly bulletin, approved by parish priest and printed by 5pm Friday.Ensure Mass power points are prepared by mid-day Friday.Manage the Parish Website / Upload the parish newsletter weekly.Ensure there is sufficient stationery, sacramental and liturgical supplies as required.Payment of invoices as and if required.Liaise with Parish Priest and Child Safeguarding Officer to maintain all Child Safety and Working With Children Checks.Ensuring all office equipment is in good working order and if necessary, coordinating services and repairsThe collating and distribution of relevant Parish documentsMaintain Parish database and Registers (Baptism, Deaths, Weddings etc) - PACSProvide administrative support for the liturgical and sacramental life of the parish, as well as to Parish Groups and Ministries as required and other tasks as directed by the Parish Priest.Key Requirements A committed Catholic in good standing with the Church, possessing a deep understanding of Catholic teachings and traditions.Excellent interpersonal skills with the ability to connect with individuals from diverse backgrounds.Strong organisational and time management abilities, capable of managing multiple tasks and priorities effectively.A confident working knowledge of Microsoft OfficeFamiliarity with the Software package "PACEM"A high level of integrity, honesty and confidentiality.Other Requirements Valid Working with Children CheckPolice CheckAnnual acknowledgement of the expectations and responsibilities outlined in the Safeguarding Children and Young People Code of Conduct.Successful completion of the Catholic Archdiocese of Melbourne's Safeguarding Essentials online training module annually.Additional Information Applications are to be sent to ****** by the 12th July 2024 Please submit a cover letter along with a current resume.
