YOUR ROLE The Operations Administrator plays a crucial role in supporting the Finished Vehicle Logistics (FVL) Operations Manager and their direct reports with all site-related administrative tasks. This role is responsible for ensuring the efficient handling of administrative processes and activities necessary for the day-to-day operation.
The role will ensure that all site administrative activities, processes, and systems are executed in line with contractual obligations and service standards, delivering on CEVA's commitment to excellence for its customers.
WHAT ARE YOU GOING TO DO? Specifically, you will:
Provide comprehensive administrative support to the site, including setting up meetings, managing schedules, and collating and collecting data as required. Assist with general administrative tasks, as well as ad-hoc requests from the Operations Manager and team. Manage the shared mailbox for the Operations team, ensuring all incoming queries are addressed and responded to promptly. Collaborate closely with fleet allocators and the wider operations team to address specific customer queries, manage manifesting time slots, and communicate about late or priority vehicles. Handle all customer calls regarding collections, deliveries, and updates on late vehicles. Oversee State-specific customer needs, including handling contacts, reports, and requirements for customers. Provide quotes and handle booking requests as necessary to ensure a smooth operational process for customer requirements. Oversee tasks related to the QHSE system (MyOsh), ensuring that all tasks are completed and compliant with company policies. WHAT ARE WE LOOKING FOR? Our ideal candidate has experience gained in an administrative support role in any industry together with:
Basic to intermediate proficiency in Microsoft Excel for data entry and simple data manipulation. Awareness of health, safety, and environment management practices. Strong organisational skills with the ability to prioritise tasks and meet deadlines. Excellent verbal and written communication skills. Ability to handle pressured situations calmly and professionally. Strong customer service orientation, with the ability to build positive relationships. Bonus: experience gained in logistics and supply chain industry. In addition to providing proof of work rights and suitable professional referees, progressed candidates will be required to undergo a medical assessment and national police check.
