This pivotal role is designed for someone who thrives in a dynamic environment, excels in leadership, and loves making systems work seamlessly.About the RoleAs the Office Manager, you'll be the backbone of our clinic operations, ensuring everything runs smoothly. From leading the front desk team to handling financial systems, patient accounts, and clinic statistics, your organisational skills will directly contribute to improving patient care and clinic growth. Reporting directly to our Clinic Director, you'll play a key role in creating a welcoming, efficient, and thriving workplace.Key Responsibilities:Oversee front desk operations across 6–7 shifts per week (shifts 4–5 hours each).Lead and supervise staff, including chiropractic assistants and associate chiropractors.Organise office operations and maintain procedures, correspondence, and systems.Ensure all staff follow standard operating procedures to maintain a high standard of efficiency and consistency.Manage internal office promotions and patient communication strategies to boost clinic engagement and growth.Manage patient accounts, including billing, insurance claims, and financial arrangements.Support human resources tasks such as hiring, evaluating staff, and maintaining compliance with employment laws.Maintain the clinic's practice management system (Spinalogic) and ensure accurate patient record-keeping.Handle office expenses, order supplies, and liaise with external vendors.Monitor and analyse clinic statistics, providing weekly summaries to the Clinic Director.Serve as the go-to for patient inquiries, financial concerns, and special arrangements.Must be available for early starts - 7am & late finishes - 6.45pm Monday - Thursday.What We're Looking For:Proven experience in management or a similar role, ideally in healthcare or wellness.Strong leadership and communication skills with the ability to motivate and manage a team.Exceptional organisational abilities and attention to detail.Familiarity with medical billing, insurance systems, and patient account management is a plus.Tech-savvy with experience in practice management software (Spinalogic experience is a bonus).A positive, solutions-focused attitude and a passion for delivering outstanding patient care.A strong value on natural healthcare.Why Join Us?At Zest Chiropractic, we're more than a clinic—we're a community.
