The Office Manager will serve Places mission statement “To create a safe and collaborative workspace that supports our flexible and inclusive culture” by providing best in class workplace experiences and supporting our FLEXwork policy.
This position will help in continually achieving this statement by organizing, coordinating, and managing day-to-day office operations. The ideal candidate will bring creativity, communication, and collaboration to enhance and deliver services consistently across various functions. Through a thorough knowledge of facilities best practices, office management, service ticketing management and customer services, the Office Manager will work to build trust and the best workplace environment for our customers.
Your Impact
Build strong relationships with regional business leaders and cross-departmental teams, and influence through timely, relevant, and targeted communication that balances the needs of the business with the services provided by our team
Proactively oversee and manage day to day facilities operations and logistics within the premises which covers for server/lab and security equipment
Tracks and manages the opex and capex budget for the office and provides accurate forecasts spent to work within agreed budget.
Oversee and manage Front of House operations including but not limited to visitor management, security, cleaning, events setup, shipping/receiving and office supplies, courier services etc
Manage for onsite facilities service tickets and ensuring all service levels are managed and closed on timely basis
Assist with project bid and tender process and administer relevant documentation relating to the facility location, including for any minor alteration and addition works
Oversee vendor procurement process which includes raising of relevant PR/PO, invoice processing, contract review and service maintenance for all services.
Develop and maintain a robust planned maintenance program for all critical equipment/ lab and server room on site and managing vendor performance.
Work with building management to ensure office safety and team communication. Support and implement the Global Safety and Security team initiatives such as evacuation exercises and EH&S programs
Establish critical success factors and key performance indicators for key service provider relationships
In collaboration with cross-departmental teams (HR, IT, etc), work on creation, coordination, and delivery of global programs such as: new hire onboarding, reception, snacks/beverages/food, special events, building maintenance, security, mail and shipping.
Manage space planning, coordinate changes, and keep internal systems updated.
Recommend and implement maximum cost-effective solution to any situations that may arises
Coordinate with various internal and external stakeholders for emergency preparedness action plans, fire evacuation and first aid training
Collaborate with regional/global colleagues towards common goals and share best practices
Any ad-hoc duties and projects as required to meet the needs of the business or as directed by the Places Regional Manager
Qualifications
At least 5 years’ of office and/or business operations experience with appropriate qualifications and professional memberships.
Strong relationship management and communication skills working with business, functional leaders as well as employees at all levels.
Good collaborative skills and experience dealing with internal and external stakeholders, vendors, landlords and suppliers.
Excellent organizational, methodical, problem-solving skills and works well under pressure.
Self driven, positive attitude, a sense of humour and enjoys having fun
Ability to respond to important and urgent maintenance calls outside of regular business hours
