Role purposeThe OLM will be responsible for overseeing the leasing of circa 100,000m2 of commercial office space across Vicinity's property portfolio. The role will report to the General Manager Capital Transactions & Commercial Leasing at the National Office, Chadstone.
The OLM will lead the negotiations around leasing of commercial office space across the Vicinity commercial office portfolio. The OLM will ensure that requests for proposals (RFPs) from tenants, tenant representatives, and leasing agents are attended to expeditiously and in a professional and expert manner, and that commercial outcomes are commensurate with market, financially feasible and to the commercial advantage of the Asset, JV Partners and Vicinity.
The role will play a vital role in driving the growth and success of the company's commercial office portfolio.
Key AccountabilitiesMarketing and Negotiation- Develop and maintain a robust and in-depth understanding of the office market where the existing office premises are located within the national property portfolio.Manage the preparation of marketing collateral for respective offices and what is presented to the market.Present office premises and current availability to tenants.Manage tenant inspections along with leasing agents and centre management.Engage with the market to actively pursue tenants (i.e., engage directly with tenants, tenant representatives and agents [both appointed or not]).Engage with existing tenants (coordinating centre management retail leasing teams) on any matters that arise during leases.Prepare term sheets for tenants interested in office leases.Work with the legal team to finalise agreements for lease and lease documents for office leases.Strategy, Planning & Organisation- Appoint and manage the leasing agents acting as the landlord's representative.Resolve complex issues regarding performance management, financial assessment, and macro/micro market research.Contribute to setting asset vision and strategy and ensuring office strategies and offerings are aligned.Teamwork & Leadership- Engage with the centre management and retail leasing teams on assets with offices to ensure that there is a cohesive leasing strategy and direct line for any office enquiry.Successfully lead multiple project teams.Champion teams and motivate to achieve and exceed targets.Set team objectives and ensure these are understood.Provide information and technical support to team members and other departments.Financial Analysis & Reporting- Prepare initial leasing budgets for vacant spaces.Prepare and establish the annual lease budgets for the respective offices based on market rents, reviews, and incentives, etc.Engage with the PIA team on regular valuation advice and benchmarking.Provide regular reporting on the status of office leasing, vacancy, enquiry, marketing, market rents and leasing up periods.Engage with the property accounting team on the regular budget cycles and provide input on budgets for vacant office and looming lease expires.Develop budgets for tenant expiries to make good and/or refurbish premises to enable them to be ready for lease.Comprehensive understanding of project risk and opportunity position and full oversight risk mitigation.Apply advanced investment analysis.Execute short, medium and long-term strategies and work to ensure that key projects meet required deadlines.Communication & Interpersonal- Provide senior executive support and advice on office leasing.Develop a positive and productive relationship with other senior executives within Vicinity and externally with project staff, agents, and consultants.Ensure ongoing engagement, reporting and communications with key stakeholders which may include JV Partners, Government, Neighbors, potential tenants, ICC & Board.Contribute to and coordinate the writing of ICC & Board papers.Present to the ICC and Board when required.The job description as defined above will evolve and change over time as Vicinity's commercial office portfolio changes.
