The role? This is an exceptional opportunity for an Office Assistant / Administrator with 3+ years of experience to join a business where they will gain exposure and be surrounded by high performing people.
My client is seeking someone who wants to step into this role and own it! You must be passionate about providing the utmost quality of service to the clients that the firm is engaged with, taking pride in your work for the wider office and being extremely efficient in ensuring the cogs are turning every step of the way to ensure a smooth running office!
You will have exposure to supporting the CEO, which is a great platform to learn on. With the lean and flat structure of the office it means you are visible, have the opportunity to support the senior leaders, which is great for someone who wants to progress and be noticed for their excellent dedication to their work!
Primary responsibilities:
Greeting clients upon arrival in a friendly and professional manner and directing them to the appropriate meeting rooms.Managing all boardroom and meeting room reservations, setting up meeting rooms ahead of all meetings and managing refreshments for meeting participants.Answering and directing incoming calls in a timely manner.Responsible for all office administration duties including stationery and consumables ordering, monitoring of supplies, organising mail and couriers and managing office repairs and maintenance.Printing and preparing documents ahead of meetings and business travel.Assisting with set up and onboarding of all new employees.Managing and maintaining office security passes and system security levels.Escalation and follow up of all IT requests/troubleshooting with 3rd party IT provider.Other primary duties will include: • Executive support to CEO.
• Assisting with ad hoc event management and planning (both internal & external) and other marketing initiatives.
• Management and updating of all client & credential presentations and pitch documents.
• Maintenance and updating of the firms contact list and Outlook distribution lists.
• Maintenance and updating of the firms (and related business) websites.
