We are looking for an experienced and enthusiastic Membership Coordinator to join our team at Lake Karrinyup Country Club. This role will be, Monday to Friday. Your friendly and helpful demeanour ensures our membership always feels welcome, valued and respected, whilst your attention to detail and organisational skills ensure a seamless experience for our Members. In this key role, you will be responsible for managing all aspects of membership services, including onboarding new members, retention, and engagement. You will act as the main point of contact for members, ensuring excellent customer service, addressing inquiries and facilitating communication between members and the Club. Key Responsibilities New Membership End to end onboarding of new Members, from enquiry to membership. Database management through "Northstar" software. Circulate and assist proposer nomination procedures. Coordination of onboarding, planned communications, inductions and welcome packs. Circulate Online New Member Induction. Administer relevant Committee documentation. Existing Membership Provide administrative assistance to the Membership Advisory Committee – take minutes at bi-monthly evening meetings. Preparation of monthly Membership Report for the General Committee. Reporting transfer requests, Members for election, house memberships, resignations, buggy licenses, bereavements and items for discretionary decisions. Understanding and reference to the Club Constitution and By-Laws, confirming eligibility to transfers prior to submitting request. Communicate with Member enquiries in a professional manner and in accordance with Club values. Member Services Locker allocation and management – maintain and administer waiting lists, nameplates and keys as required. Buggy Room allocation and waitlist management. Prepare relevant Membership information for preparation and distribution by the Communications Coordinator. Records Management & Projects Update Member records, transfers and resignations within Membership Management software (Northstar). Produce internal reports on membership numbers and movement (as above month end). Audit of accommodation rates notices to balance addresses. Run membership reports for election from Provisional and Wait List for table at both MAC and Match Committees. Maintain reports for annual Fixture Book allocations. Update Policy Documents and By-Laws. Ensure membership collateral is updated and consistent. Women's Introductory Program Coordinate and administer 22-week Women's Introductory Program with the LKCC PGA Facilitator. Transitional Members – reporting for election process. Junior Membership Manage junior membership – from application to "trial" with volunteer coordinators. Coordinate reports for Junior election process into the Club at age 18. Sub-Junior Program Coordinate the Sub-Junior program with parents, teaching pros, and Club staff. Selection Criteria Demonstrated experience in providing exceptional customer service, with the ability to engage and build positive relationships with members, ensuring their needs are met in a welcoming and professional manner. Strong verbal and written communication skills, with the ability to communicate effectively with a diverse range of members, stakeholders, and colleagues. Proven ability to manage multiple tasks, prioritise workload and meet deadlines efficiently while maintaining a high level of accuracy and attention to detail. Experience in managing membership processes, including applications, renewals and database management, with proficiency in membership software and other relevant tools. A proactive approach to identifying and resolving issues or member concerns, with strong problem-solving skills and the ability to work independently and collaboratively as part of a team. Commitment to maintaining confidentiality and professionalism in handling sensitive member information and dealing with membership-related queries or issues. Ability to work effectively within a team environment, contributing positively to the team culture while fostering respectful and productive relationships with members and staff.
