Provide Administrative support to the Vice President (VP) GTO WACOL and Management Team as required.Maintain Confidentiality, handle sensitive data, liaise with stakeholders.Required Skills: Organization, Communication & Microsoft Office Proficiency.The successful applicant will provide key administrative and organizational support to the Vice President GTO WACOL, who oversees the Wacol Factory operations. The Team at Wacol builds Volvo and Mack trucks for our customers in Australia and New Zealand.

Excellent organizational skills, attention to detail, and the ability to manage various tasks in a dynamic and fast-paced environment. This role requires handling sensitive information with discretion, coordinating communications, and managing schedules to ensure smooth operations.
Act as a first point of contact between the VP, Visitors, and staff, responding to queries in a timely and professional manner.Manage the VP calendar, including scheduling appointments, meetings, and travel arrangements.Support VP with correspondence, including proactively conducting background research where necessary, determining next steps, and drafting responses for VP consideration to send.Maintain an active WIP for VP priorities and tasks (proactively supporting VP to close all loops).Organize and prepare documents, reports, and presentations for meetings and ensure all required materials are available.Assist in preparing expense reports and processing invoices and reconciling expenses as required.Maintain organized and up-to-date electronic and physical filing systems for VP and Board documents, reports, and records. Ensure confidentiality and accuracy in handling sensitive information.Liaise with VP Visitors, staff, and contractors on behalf of the VP.Assist in coordinating internal and external meetings, including booking conference rooms, organizing materials, and ensuring logistics are in place.Assist VP in tracking project timelines, milestones, and deliverables, and ensure that the VP is kept up to date on progress.Coordinate travel arrangements, including booking flights, accommodation, and preparing detailed travel itineraries for the VP business and personal trips.
