The Administration Assistant (Legal) works in close collaboration with the Admin Support Team Leader primarily within the Legal Unit at KLC ("the Unit") and is responsible for the routine administrative and organisational tasks to keep the business activities operating efficiently.Key Responsibilities:Effective and timely file management including electronic & physical filing in accordance with relevant policies & procedures.Provide confidential administrative support via delegation from the Admin Support Team Leader to the legal unit including (but not limited to) photocopying, scanning, printing, binding, and other such duties as may be required.Assistance in booking & facilitating meetings for the Unit.Availability to assist in minute taking, as may be required from time-to-time.Assist with the Unit's incoming and outgoing mail, correspondence and other such duties as required.As delegated perform basic account/finance duties per KLC purchasing policy and KLC finance expenditure guidelines, including but not limited to stationery ordering, purchase orders, expenditure request forms and invoice reconciliation.Actively participate in and contribute to quality improvement of administrative and/or The Unit's processes.Be available to attend and assist at the annual KLC AGM, and any other compulsory staff events as may arise.Reception cover & other administrative duties across the organisation as may be required.Personal:Maintain polite and professional communication in all correspondence.Anticipate the needs of others in order to ensure seamless and positive outcomes.Occupational Safety and Health:Maintain a safe workspace and actively contribute to the health and safety of the workplace by adhering to all health and safety policies and procedures.Compliance:Comply with all internal KLC policies and procedures and ensure the team's adherence.Demonstrate an awareness of and commitment to the KLC Vision and its Values.Other:Coordinate and carry out all the tasks of the position including general administration duties and liaising with external and internal stakeholders, as required.Other tasks as directed by authorised KLC personnel or representatives.Selection Criteria:Ability to work in a multi-disciplinary team, and excellent skills in working both autonomously as well as part of a team.Excellent verbal and written communication skills, including interpersonal skills.Adept in the use of technology including Microsoft Suite (particularly Excel), database, and accounting software.Ability to multitask, prioritise and work under pressure; with proven excellent organisational and time management skills.Quality attention to detail and presentation.1. An understanding of court processes and systems or previous experience working in a legal environment will be highly regarded.2.
