The role will see you effectively administer the lease database and provide support to the Group Property Portfolio Manager.
The broad scope of the role ensures smooth operations across the branches leading to effective customer service.


About your new job

The role will assist and support the Group Property Portfolio Manager in ensuring property risk is mitigated across all aspects of lease compliance.
Your responsibilities will include:
Timely update of the database data pool and monthly reporting to internal stakeholders
Preparation and distribution of monthly Regional General Managers (RGM's) and Profit Centre Managers (PCM's) lease reports
Facilitate branch Capex requests.
Assist in the timely and accurate execution of lease documentation
Ongoing implementation and use of the lease templates as much as possible
Provide a high-quality service, objectivity and anticipate or resolve problems.
The management of monthly rental payments for leased properties
Assist in actioning notices to Landlord's, such as option exercise, termination, etc
Responsible for responding to all enquires in relation to the change of lessor and/or lessor bank account details
Provide lease advice as requested to internal stakeholders
Raising of Bank Guarantees (BGs), returning old BGs and payments of holding deposits
Responsible for adding all owned properties to the database so that they are managed and administered in a consistent way to leased properties.
Provide alerts to tenants when option extension exercise periods are due.
Work with all parties to ensure options are exercised in accordance with the requirements of the lease.
Support the management of rent adjustments and any risk exposures.
Support the management of any property structural, maintenance and improvement issues.
Support the operational use of a work order system for improvements, repairs and renovations.

About You

You will be an experienced Team or Lease Administrator with the ability to provide support in a variety of administrative functions.
To be successful in this role you will ideally have exposure in the following:
Previous experience in a similar support position – experience in the property industry will be highly regarded
Strong knowledge of Microsoft packages
Ability to work to a strict schedule and be results-focused
Strong communication skills as well as attention to detail
Proactive and forward-thinking
Excellent problem solving and analytical skills
