You are an experienced Executive Assistant who is proactive, tech savvy and extremely organised.
Along with clear and concise written and verbal communication skills, you will also have a natural confidence and a professional presence to engage seamlessly with staff, the Board of Directors, the Executive team, and key stakeholders.

This role will be entrusted with access to sensitive and confidential information, which will be critical to the effective operation and governance of Interrelate.
It is essential that you are an individual that can maintain the highest standards of privacy and confidentiality as you conduct your day-to-day work.

ABOUT THE ROLE:
The Executive Assistant will manage a diverse range of tasks requiring coordination, discretion, and operational excellence.
You will provide administrative support to the CEO, in addition to providing administrative support to the Executive team and the Board of Directors to facilitate smooth operations in the execution of strategic initiatives.
The position will play a critical role in enhancing organisational communication and operational efficiency.

The position would be suited to an adaptable and collaborative professional who is able to work with multiple priorities and stakeholders in a fast-paced, yet supportive workplace environment where we value relationships and celebrate achievements.

KEY RESPONSIBILITIES:
EA Support to the CEO - Managing schedules, travel and accommodation, diary management, administrative support, reporting and preparing presentations.
Monitoring the CEO's email inbox and identifying urgent matters that require follow-up.
Tracking of projects, credit card reconciliation and approvals of payments.
EA Support to the Board of Directors - Preparing and distributing materials for committee meetings, providing secretarial support, taking minutes and coordinating the logistics of events.
Event Coordination - Sourcing of venues, organising catering, staff events and functions.
Administrative Support - Administrative support to the broader Executive team, coordinating and attending Executive meetings, co-ordinating Agendas, preparing meeting minutes and monitoring action points.
Correspondence & Communication - Representing the CEO in interactions with government officials and with external organisations.
Managing stakeholder communications internally and externally.
Being the first point of contact for client complaints, ensuring concerns are documented and addressed.
Office and Facility Management - Addressing any Bella Vista head office maintenance issues, and any other office needs.
Membership Coordination - Managing communication with Interrelate's members, maintaining membership records, updating registers, and ensuring compliance with renewal processes.
The successful candidate will need to be based in NSW, as occasional visits will be required to the Bella Vista head office.

The role will be fixed term until 30 June 2026, working 37.5 hours per week.

ROLE REQUIREMENTS:
Qualifications in Office Management, Business Administration or other related field.
Previous experience as an Executive Assistant or in a senior level administration role.
High level of organisation and time management skills, including the ability to organise work and engage in a variety of tasks simultaneously and consistently meet deadlines.
This includes the ability to be flexible and adaptable to changing activities and workloads.
High level communication skills (both written and verbal) and strong interpersonal and diplomacy skills, appropriate to varying levels both internally and externally.
Demonstrated expertise in utilizing the Microsoft 365 suite of applications and other relevant software and collaboration tools to enhance productivity, streamline workflows, and support effective communication and project management.
The ability to manage all duties with a high degree of integrity, professionalism and confidentiality.
Strong attention to detail, ability to perform duties with minimal supervision and with a high level of accuracy.
