Job Title: Guiding Support & AdministrationLocation: Gold CoastReports To: Guide ManagerDirect Reports: NoneStatus: Permanent Full TimeThis role reports to the Guide Manager of Guides Australia and is responsible for assisting in recruitment and allocation of both day and extended touring guides.Main ResponsibilitiesAssist Guide & Customer Relationship Manager with tour guide/tour director allocationsComplete & quality check final tour paperworkBuild and maintain relationships with current and or new guides and clientsAssist with timesheet entry and payroll as requiredAs required assist with afterhours guide supportProvide accurate confirmations, reconfirmation, and tour documentation for all guidesEnsure all reporting and documentation is correct for invoicing of files.Assist the Accounts Department with invoice queries as they ariseAssist in all other areas of the business when requiredOther InformationDue to the nature of the guiding industry, the role will include working extra hours when operationally required and across weekends and public holidays.Strong organizational skills with the ability to manage scheduling efficientlyAbility to complete and check paperwork to ensure accuracy and qualityCreating and maintaining accurate records for rostering and payroll purposesDemonstrated experience in building and maintaining strong relationshipsExcellent interpersonal skills, with the ability to engage and communicate effectively with people from diverse backgroundsStrong time management skills and flexible working attitudeExperience in handling urgent issues and enquiries in a timely mannerStrong problem-solving skills and the ability to adapt to changing prioritiesThe ability to face challenges head-on and a 'can do and hands-on' attitudeExperience using an in-house Reservations System would be considered an advantageKnowledge & ExperienceKnowledge and understanding of the travel/cruise industry would be an advantageExcellent product knowledge of AustraliaPrevious experience in office administrationUnderstanding of logisticsHigh attention to detailMature outlook and ability to stay calm under pressure.Computer Skills RequiredProficient in Microsoft Office (Word, Excel, Power Point & Outlook)Your application will include the following questions:Which of the following statements best describes your right to work in Australia?How many years' experience do you have in an Administration Role?Do you have experience in administration?Which of the following Microsoft Office products are you experienced with?Do you have experience preparing work rosters?Do you have customer service experience?Do you have data entry experience?Do you have previous invoicing experience?
