2 Positions available: Noosaville and Chinchilla
The Administration Officer will carry out administration tasks to assist with the smooth and efficient day-to-day operations of the office, providing support to the management team, project managers, and construction staff. This role requires a highly organised, detail-oriented, and proactive individual who can effectively handle multiple tasks, deadlines, and priorities. Machinery knowledge will be a valuable quality. The Administration Officer will ensure seamless operations, maintain effective communication, and maximise productivity in a fast-paced construction environment.
Responsibilities: Under the guidance of the General Manager, maintain effective administrative policies, procedures, and systems, adhering to both industry regulations and company standards. Develop and maintain a comprehensive filing system to ensure the efficient retrieval and storage of documents. Raise Purchase Orders under the guidance of the General Manager. Conduct company onboarding inductions for all new employees. Conduct refresher inductions for all staff on an annual basis. Coordinate and process all site-required inductions and medicals. Ensure all employee records are accurate and up to date. Coordinate and circulate the weekly roster. Book flights and accommodation for staff. Foster effective communication between different departments, management, and project teams, ensuring the timely and accurate dissemination of information. Manage WhatsApp communication with each project and their respective team. Qualifications/Experience: Proven experience as an Administration Officer, preferably in the construction industry. Machinery knowledge will be seen as an advantage. Strong knowledge of construction industry regulations, practices, and terminology. Excellent organisational and multitasking abilities, with the ability to prioritise and meet deadlines. Proficiency in using office software and systems, including MS Office Suite and various project management tools. Exceptional communication and interpersonal skills, with the ability to build strong relationships with stakeholders at all levels. Attention to detail and high-level problem-solving skills. Ability to work effectively in a fast-paced, team-oriented environment. Tertiary qualifications in Business Administration or a related field. Knowledge: Extensive knowledge of civil, mining, and transport industry. General knowledge of plant and machinery. High level of understanding of scheduling and rostering of employees. Proficiency in using various software and platforms. In-depth knowledge of safe systems of work, OH&S, and contractor management. Results-oriented, takes initiative, makes things happen, with a commitment to meeting targets and deadlines. Good communication skills with the ability to interact positively with all levels of the workforce, operation staff, and management. Strong organisational and time management skills.
