ColourFull Abilities is an organisation that focuses on the coming together of people from multiple diverse groups in particular people with a disability and members of LGBTQIA+ communities. We aim to increase social and community participation for individuals with a NDIS plan, and provide a safe space for people to accept themselves for who they are whilst achieving their personal goals. We service Kaurna (Adelaide plains) and Peramangk (Adelaide Hills) lands.

The RoleThe Financial Administrator is responsible for managing and maintaining the financial operations at ColourFull Abilities This role ensures ColourFull Abilities complies with financial regulations and maintains accurate financial records to support financial planning, budgeting, and reporting activities. The Financial Administrator will work closely with Management, tax adviser/s, the Service Delivery team, Plan Managers, participants and/or their representatives, and any other relevant external stakeholders to ensure financial integrity and support the smooth operation of services provided to clients.
Core objectives include:
Financial Record MaintenanceEnter and update all financial transactions in finance and participant management software.Maintain the general ledger, including account reconciliation and adjustments.Prepare and review financial statements such as balance sheets, income statements, and cash flow reports.Reconcile bank statements, credit cards, and other accounts to ensure accuracy and prevent discrepancies.Compliance ManagementVerify and ensure compliance with NDIS funding criteria and regulations for financial operations.Ensure accurate and timely information for the preparation and submission of ATO reports, including BAS, GST, PAYG, and other statutory obligations.Perform regular internal audits of financial records and processes to ensure compliance and readiness for external audits.Service Agreement ManagementEnsure accurate reflection of participant service agreements in finance and participant management software, and track funding allocations.Track and manage the financial aspects of participant service agreements, including billing and budget allocation.Liaise with Plan Managers, participants, or representatives to resolve any issues, disputes, or discrepancies related to service agreements.Payment ProcessingManage the processing of invoices for independent contractors, outsourced partners, and other payees, ensuring proper documentation.Ensure all payments to contractors, staff, and suppliers are made promptly and accurately.Document all payment transactions in finance management software and ensure that payments are correctly linked to the appropriate service agreements.Payroll AdministrationCollect, verify, and manage timesheets for all staff, ensuring accurate payroll processing and adherence to company policies.Process payroll, ensuring timely and accurate payments for all staff.Ensure entitlements, superannuation payments, and other benefits are calculated correctly and submitted on time.Financial CoordinationWork with the Service Delivery team to manage financial aspects, including resource allocation, cost management, and invoicing for services.Ensure that financial resources are allocated efficiently to support service delivery and participant supports.ReportingPrepare detailed financial reports for management, including budget performance, cash flow analysis, and financial forecasts.Analyse financial data to provide insights and recommendations to management on budget and financial health.Assist with the creation of annual budgets, ensuring alignment with strategic goals and financial constraints.CommunicationCommunicate with tax adviser/s, Service Delivery Team, Management, and HR consultant/s to align financial objectives and ensure smooth operations.Engage with Plan Managers, participants, their representatives, ATO, and NDIA to ensure compliance, accurate payments, and effective financial operations.Continuous ImprovementIdentify and implement more efficient workflows and systems to streamline operations and financial management.Monitor and adapt to changes in financial regulations to ensure ongoing compliance and avoid risks.Develop strategies to reduce costs while maintaining service quality and financial accuracy.Track financial performance against budgets and objectives, making recommendations for improvement.Support the strategic planning process by providing accurate financial data, trends, and analysis to inform decisions.The above list is not exhaustive and the role may change to meet the overall objectives of the company.
Role SpecificationsBachelor degree or higher in Accounting, and/or Finance (essential)CPA or equivalent certification (desirable)At least 2 years' experience in financial administration or accounting (essential)At least 2 years' experience within LGBTQIA+ sector (desirable)Experience within the disability sector (essential)Strong understanding of:NDIS funding criteria (essential)ATO requirements (essential)Financial regulations relevant to the disability sector (essential)Financial regulations relevant to LGBTQIA+ communities (desirable)Proven experience with Xero, Visual Care (or a similar CRM), Google Workplace and Microsoft Office (i.e. Excel, Word) (essential)NDIS Check (essential before commencement)Relevant Police Check (essential before commencement)About YouPerson-centred approach: fulfil responsibilities in a way which centres the needs of the individual based on their beliefs, goals and desires. Communication: well-developed interpersonal skills and the ability to work and communicate effectively with internal teams and external stakeholders, including Plan Managers and participants. Attention to detail: excellent attention to detail and accuracy in financial reporting. Teamwork: proven ability to work in a changing work environment and to work both independently and part of a team. Time management/organisation: accomplish objectives effectively within the time frame given, and carry out administrative duties in an efficient and timely manner.
