Department of Human Services SA – Adelaide SASalary Range: 76,561-80,256Classification: ASO4Engagement Type: OngoingClosing Date: 04 Nov 2024Role HighlightsConvenient CBD locationFlexible working arrangements availableWork with a dynamic and enthusiastic teamThe Executive Officer is a role within Finance and Business Services and is accountable to the Director, Finance for:Provision of a range of executive and administrative services to facilitate the delivery of business operations and to support the Director, Finance and Director, Financial Reform.Provision of high level and confidential executive officer support to committees and working groups chaired by the Chief Financial Officer (CFO).Providing timely, accurate and pro-active advice on a broad range of issues and priorities, including undertaking research, data collection and preparing reports or correspondence.Building and maintaining collaborative and effective relationships with a broad range of internal and external partners as a representative of the CFO and the Finance and Business Services division.Key Outcomes/Accountabilities:1. Manage Executive diary appointments, records and correspondence and support meetings to facilitate the effective management of the Executive's directorate.2. Act as point of contact, analyse and assess requests in order to prioritise matters, and initiate action exercising discretion and maintaining confidentiality to facilitate the optimal use of the Executive's time.3. Provide proactive administrative support to the Finance and Business Services division, including but not limited to human resources administrative support and financial administrative support.4. Provide timely executive coordination, communication and professional support to committees and working groups chaired by the CFO, including preparation of agendas, minutes and actions registers; project support; preparing reports, correspondence and presentations on behalf of the CFO.5. Prepare, coordinate and review communication including submissions, reports, briefing notes and correspondence, that respond to issues and enquiries.6. Monitor, implement and evaluate administrative practices, systems and procedures to optimise efficiency and support the delivery of high-quality outcomes.Note: Any other responsibilities in line with the classification level of the role as assigned by Line Manager and/or the Department. The responsibilities as specified above may be altered in accordance with the changing requirements of the role.Special ConditionsNational Police Check required. Some out of hours work may be required.About the BusinessOur Finance and Business Services Division oversees the department's budget and financial compliance responsibilities, its infrastructure and assets portfolio, as well as procurement and quality assurance functions, business improvement and technology and screening transformation.
