Executive Assistant to the Provincial - 12-month parental leave replacement The Executive Assistant (EA) serves as a key support role for the Provincial, providing executive and administrative assistance. The EA will work closely with the Provincial Socius and Management Team to ensure efficient operations and effective service delivery.
The ideal candidate will possess strong organisational skills, excellent communication abilities, and a high level of discretion. They must be able to handle sensitive information and meet tight deadlines while maintaining a professional demeanour. The EA will interact with a variety of stakeholders, including board members, and will be expected to contribute to the overall success of the organisation.
Executive Assistant to the Director - ongoing role The Executive Assistant is primarily responsible for providing executive and administrative support to the Director and other associated tasks and promote efficient delivery of services and effective management of the Finance and Business Operations Department. The Executive Assistant reports to the Director of Treasury & Business Operations and works closely with the Province Treasurer and the Management Team of the Finance and Business Department. The incumbent must maintain a high standard of professionalism, efficiency, personal communication, discretion and independent judgment while working with internal and external stakeholders.
Key tasks and responsibilities for both positions Organise and manage a comprehensive diary, travel and accommodation including prioritising and resolving related conflicts and competing demands, proactively scheduling important meetings with internal and external key stakeholders;Manage the flow of information;Screening emails, responding and/or actioning as required;Perform general clerical duties to include but not limited to; scanning, copying, faxing, filing, and data entry. Collects and opens mail; forwards correspondence to appropriate staff for action;Organise functions, events, workshops and meetings;Develop Project Plans;Extensive preparation and revision of reports, business papers, emails, agendas, Board minute taking/other meeting support, and presentations;Drafting and formatting policies, procedures and practices;Assist in the preparation and distribution of Board Resolutions;Coordinate staff participation in meetings/events/consultations;Record, prepare and distribute meeting minutes and maintain organisational records;Assist the Director in their capacity as Company Secretary to entities within the Society of Jesus;Work closely with the Finance Manager to ensure all compliance Reporting (Internally and Externally) is scheduled and Compliance Reports are submitted;Assist the Treasury team as required;Some local and interstate travel will be required.Benefits we can offer you Salary packagingHybrid/work from home working conditionsFantastic office location in central Hawthorn near train and tram stopsAdditional purchased leave availableEmployee assistance programThe Australian Province of the Society of Jesus takes child protection seriously; you are required to meet the behaviour standards outlined in our Code of Conduct.
