About the position We are currently looking for a stellar Executive Assistant to join our team to support our Head of Senior School.
The role will be responsible for providing executive-level organisational, administrative and secretarial support to the Head of Senior School and their remit including but not limited to the areas such as reception, Deputy Head of Senior School - Pastoral and Heads of Year.
Working with a high degree of independence, this position is required to be well organised, flexible, proactive, resourceful and sensitive to the required level of discretion in handling confidential information.
Key accountabilities: Providing administrative support to the Head of Senior School.Maintaining electronic diaries using Outlook and coordinating meetings and appointments with various stakeholders; staff, parents, students.Communicating and liaising directly and frequently with students, teachers and parents via telephone, email and face to face interaction and responding to enquiries where appropriate.Drafting and editing correspondence, presentations, reports, documentation and materials, as required.Overseeing School events bookings procedures.Managing the student leadership election process for Middle Years and Senior Years along with the Year 12 interview process.Acting as minute secretary and providing secretarial support to the committees chaired by the direct Manager and distribution of minutes to members.Coordinating events and school functions in liaison with the Events Coordinator to ensure that equipment, technology, badges and booklets have been arranged.Updating and maintaining records, ensuring that systems are continually up to date and records movements and monitoring occur in a timely manner.Assisting with projects as required.Providing the Head of Senior School with information, ideas and support on matters of concern through a sound knowledge of school policies, procedures, standards and executive functions.Selection Criteria: Knowledge and understanding of Microsoft Suite in a MAC environmentHigh attention to detail and accuracyExtensive experience in general office procedures, including minute taking and report writing and other letter writingExperience in using (or ability to rapidly develop skills in using) school database and reporting systemsA well-developed capacity to manage the complexity and diversity of the role and,Commitment to ongoing personal and professional development.The successful candidate will be rewarded with a number of excellent benefits including: Dedicated focus on professional growth and developmentCPR and First Aid CertificationState of the art facilities and collegiate environmentEmployee Assistance Program available to you and your immediate familyOnsite parking, easy access to public transport and Westfield Shopping CentreAccess to the School's gym and indoor Aquatic CentreHow to apply: All applications are to be submitted via MLC School's online Careers Portal and include:
