About the RoleProvide exceptional administrative and executive support to the Dean while collaborating closely with the Deputy Dean and Executive Director to ensure smooth daily operations.
Coordinate communications, manage the Dean's diary, and serve as the first point of contact for all internal and external enquiries.
You will schedule meetings, arrange travel, and handle important correspondence, enabling the Dean to focus on strategic leadership.
This is a fantastic opportunity to be at the heart of decision-making and make a significant impact.Your responsibilities will include: Delivering high-level, confidential executive support for the Dean, including managing diaries, arranging internal and external meetings, and coordinating conferences and travel.Coordinating the Dean's daily correspondence, including emails, ensuring timely and efficient handling of all matters.Preparing a daily briefing pack for the Dean, including the schedule and relevant meeting papers.
Ensuring that documentation needing the Dean's signature is properly prepared and includes appropriate briefing materials.Providing Executive Officer support for high-level committees and meetings, including preparing agendas and papers, taking minutes, distributing materials, and recording Action Items.
Who We Are Looking ForYou are a highly independent and self-motivated professional with a proven track record in supporting senior leadership committees, and an ability to innovate and adapt within the administrative realm.
You exercise sound judgement, initiative, and diplomacy in all interactions, demonstrating flexibility, self-motivation, and a commitment to teamwork.
Your strong written, oral, and interpersonal communication skills enable you to collaborate effectively with colleagues and contribute meaningfully to team objectives.You also have: A completed degree accompanied by relevant experience and/or a comparable blend of pertinent experience and/or education/training.Proven experience in delivering administrative support at an executive level.Demonstrated experience in organising and scheduling complex meetings, which includes coordinating meeting requests and invitations for both internal and external stakeholders, as well as compiling the necessary meeting documentation.Capability to handle logistics, including arranging domestic and international travel for executive staff.
