We are looking for a proactive, agile, and hands-on EA who will be a true partner to the newly appointed CEO and act as a positive extension of their brand. You will be providing support with ever-changing diary management, travel coordination, organizing meetings across different time zones, and projects. You will also overlook and mentor a tight-knit team, ensuring seamless operations of the day-to-day activities.
This role offers 1 day work from home. What you'll do: As an Executive Assistant, you will be at the heart of operations, providing crucial support to the CEO. Your day-to-day responsibilities will include managing emails, diaries, and phones, coordinating travel bookings and expenses, assisting with event coordination, creating PowerPoint presentations, and providing general administrative support. You will also have managerial oversight of other administrative roles. Your proactive approach will be key in successfully performing these responsibilities.
Provide high level of executive administrative supportManage email, diary, and phone for CEOCoordinate international and domestic travel bookings and monthly expenses for the teamAssist with external client and staff event coordinationCreate/customize PowerPoint presentations and ensure quality control of printing/binding of presentationsProvide general administrative support related to the Sydney office including reception coverage, coordination of deliveries and couriersManagerial oversight of the part-time Melbourne office Administrator role and full-time Sydney-based Team Assistant roleWhat you bring: As an Executive Assistant, you bring strong organizational skills to manage multiple tasks/projects simultaneously. Your ability to work within tight deadlines with minimal supervision will be crucial. You possess strong verbal and written communication skills which are essential for this role. Your experience in handling sensitive and confidential information demonstrates your trustworthiness. Proficiency in Microsoft Word, Excel, and PowerPoint programs is required. Previous work experience in the asset management industry would be advantageous.
