We do this by:Making sure work health and safety laws are followed.Investigating work-related fatalities and serious injuries.Educating workplaces on ways to comply with legislation.Taking legal action when work health and safety laws are broken.Educating employees and employers on their legal obligations.As the Executive Assistant you will work with limited supervision as part of the Region in the WHS Compliance and Field Services directorate to support the Regional Director. The successful applicant will be required to work from the Mt Gravatt office 1-2 days per week in line with Regional Director requests.You'll be part of a dynamic and diverse culture, working alongside supportive and passionate people.As the Executive Assistant you will work with limited supervision in the WHS Compliance and Field Services directorate to support the Regional Director.Key responsibilities include:Prepare briefs and correspondence on behalf of the Regional Director as required.Provide administration assistance to the Regional Director to support day to day activities, such as calendar management, email management and travel bookings.Provide administrative assistance and executive support to the Region including co-ordinating event facilities, travel management, general administration and records management.Maintain information systems for the recording and management of referrals.Provide quality advice to management and staff with regards to workforce, financial, correspondence, reporting and general administrative services to ensure compliance with policies and procedures.Deal professionally with sensitive and confidential issues that arise.Effective diary management including organising, coordinating, and scheduling appointments and meetings.Participate as a member of the team, provide high levels of customer service to both internal and external clients, and contribute effectively to the achievement of regional outcomes.Work with a high degree of autonomy using initiative and judgement to resolve immediate problems.Undertake relevant activities delegated by the Regional Director to assist with the effective operation of the Region.Key capabilities for this role include:Demonstrated experience in preparing and editing correspondence, policy or briefing documents, including the use of style guides, templates and other corporate standards.Sound knowledge of and skills in the utilisation of computerised management systems, word processing, spreadsheet applications and electronic mail packages.Proven time management and organisational skills, including the ability to prioritise tasks, undertake a range of administrative duties, work with minimal supervision and meet tight deadlines.Well-developed interpersonal and communication skills and the ability to deal with sensitive issues and confidential material.Demonstrated ability to work both autonomously and as a member of a team, including the ability to establish work priorities and meet predetermined deadlines and commitments.Applications to remain current for 12 months.Job Ad Reference: QLD/603925/24Closing Date: Thursday, 28th November 2024
