Currently, there are no drugs available to treat these disorders. We are seeking a highly organized and proactive Executive Assistant or Office Manager to support the management and operations of our early-stage biotechnology company. This individual will play a key role in ensuring smooth day-to-day operations, providing comprehensive support to the management team, managing shareholder communications, and supporting the submission of grants, legal, scientific and regulatory document management, coordinating travel, and other administrative roles. The role may also involve general ordering responsibilities for scientific programs, financial support in cash flow management and projections, assistance in preparing presentations and supporting social media communications.
We are looking for a friendly, motivated applicant who can work well as part of our close-knit team but also work independently to get things done. We need someone with initiative and drive, who works fast and can support a variety of tasks in parallel. This opportunity will be hands-on and strategic in nature and will involve interacting regularly with our directors, management, employees and external consultants.
Key Responsibilities: Provide administrative support to the CEO, COO, and the broader management teamProvide support to the project management teamContracts administration (including coordination of signatures, filing / management of contracts database)Arrange and coordinate travel for management and staffPrioritize and manage shareholder communicationsAssist in the preparation and submission of grant applications and regulatory filingsManage general ordering of supplies and equipment for scientific programsAssist with accounts payable functionSupport cash flow management and financial projections, working closely with the COO and CEOAssist in the preparation of presentation slides and other materials for meetings and conferencesOversee and contribute to the company's social media presence, ensuring timely and relevant contentMaintain confidential information and handle sensitive communications professionallyAct as a key point of contact between the company and external stakeholders, including shareholders, clients, and suppliersExcellent communication skills, with the ability to confidently liaise with team members, clients, suppliers, and shareholdersHighly organized, with exceptional attention to detail and an ability to manage multiple tasks and prioritiesAbility to work autonomously as well as collaboratively within a teamStrong attention to confidentiality, especially regarding sensitive business and shareholder informationHighly analytical and capable of thinking and operating at a strategic levelExperience in social media communications and content managementExperience with PowerPoint and presentation of scientific information would be idealExperience in proofreading scientific slides and written documents, preferred but not essentialQualifications: Bachelor's degree or equivalent work experience in administration, business, or a related fieldPrior experience in a biotechnology or scientific environment is preferred but not essentialApplications including a cover letter should be addressed to Louisa Carey, Chief Operating Officer, via [email protected].
