Administration Sydney Contract Non-Profit Organization Management 14/11/2024 Leading not-for-profit organisation Senior 1:1 EA role Temp role to start ASAP until end February 2025 Attractive daily rate + benefits + flexibility (WFH) One of Australia's largest not-for-profit organisations is seeking a seasoned Executive Assistant to join their collaborative team on a temporary basis to start immediately until end of February 2025.
The Executive Assistant sits within the Secretariat team and is responsible for providing professional administrative and secretarial support and assistance to a senior executive.
The Executive Assistant plays a critical role in supporting the work of this key position, as well as providing support to the Disaster Recovery Committee Network (DRCN) and assisting with day-to-day administrative operations of the Secretariat office as required.
You will be responsible for: Organise and maintain the Executive's schedule, including meetings, appointments and managing invitations and events Maintain regular weekly meetings with the Executive to plan and prepare for the week ahead.
Ensure timely management of correspondence and meetings Proactively manage calendar conflicts and adjustments Ensure calendar is scheduled with time for reading, sermon / presentation preparation and travel time Screen and prioritise incoming calls, emails, and other communications Draft and respond to correspondence on behalf of the Executive Coordinate and schedule internal and external meetings, ensuring all necessary resources and materials are prepared Prepare agendas, take meeting minutes, and follow up on action items Arrange complex travel itineraries, including flights, accommodations, and ground transportation Manage and organise documents, reports, and presentations, ensuring they are accurate, up-to-date, and readily accessible Assist in the preparation and formatting of reports and presentations Process and reconcile expense reports in a timely and accurate manner Monitor budgetary allowances and communicate any discrepancies Developing and maintaining effective working relationships with a range of internal and external stakeholders Support the Disaster Recovery Committee (DRC) - arranging quarterly DRC meetings, preparation of meeting agenda and working papers and minuting the meetings You will have: Minimum 5 years' experience in providing administrative and secretarial support to executive management Experience in managing Boards and Committees including highly developed secretariat skills Intermediate to advanced computer skills including proficiency in Microsoft Office Suite Qualifications in administration, business or a related field Demonstrated complex diary management Great oral and written communication and interpersonal skills including the confidence to approach and deal with sensitive issues and relationships Great problem solving and decision-making skills with the ability to research, monitor and synthesise information, identify risks and develop strategies to produce results The capacity to achieve challenging outcomes, successfully managing competing priorities with the ability to work under pressure and meet deadlines Demonstrated ability to maintain confidentiality of written materials, information and issues This is a unique career opportunity for a passionate Executive Assistant to join an industry leader working with a collaborative, supportive, flexible (opportunity to work from home – hybrid arrangement) team within a reputable organisation.
