Executive Assistant   Permanent?   Sydney Based   Hybrid working arrangements   How will I help?
This is an exciting opportunity for an experienced Executive Assistant to support to Head of Banker and Customer Experience (BCX) and Head of Risk and Regulatory (R&RD) in Business and Wealth, Chief Operating Office.
The role requires exceptional interpersonal, communication, organisational and prioritisation skills, as well as a high degree of professionalism, confidentiality and attention to detail.
Key Responsibilities:    Provide comprehensive administrative support to the Head of BCX and the Head of R&RB, managing daily schedules, emails, and communication flow  Organise meetings or event room bookings, guests, catering, travel management and or equipment (as required) including supporting the LT or broader team  Timely and accurate expense management – invoice approvals, pCard reconciliations, etc.
Prepare agendas, compile necessary documents, and ensure follow-up actions are completed post-meetings  Manage Distribution Lists, secure / restricted site, meeting rooms, drives and other access  Serve as a key liaison between the executives and internal/external stakeholders, maintaining professional relationships and facilitating clear communication  Handle sensitive information with the highest level of discretion and maintain confidentiality at all times  Support the planning and execution of events, projects, and team initiatives as needed  Onboarding of new joiners for the LT  What's in it for me?

What do I need?
Proven experience as an Executive Assistant within a fast-paced or corporate environment  Proficient in prioritising, organising and managing multiple tasks at one time  Ability to work with and manage sensitive and confidential information and conversations  Able to exercise initiative, analytical skills, attention to detail, problem solving, interpersonal and communication skills to achieve effective outcomes  A demonstrated ability to thrive in a dynamic role, where priorities frequently shift  Strong written and verbal communication skills  A track record of building strong relationships with stakeholders and collaborating effectively to achieve high-quality outcomes  Knowledge of Westpac system such as COUPA, AMEX and PHQ  What is it like to work there?
