Job Description The Executive Assistant plays a pivotal role in supporting the Managing Director, ensuring the smooth operation of the Publishing division. This dynamic position involves direct engagement with executive and senior-level stakeholders. We seek an agile, energetic, and passionate individual who thrives on tackling a diverse and exciting range of responsibilities, from coordinating high-profile events to driving internal communications. This role requires a positive, driven professional who will serve as a key liaison between all cross-functional teams and offices, embodying strong interpersonal skills and impeccable organisation. Key responsibilities: Provide proactive, strategic support to the Managing Director,

anticipating needs and opportunities to enhance efficiency and effectiveness. Act as a central liaison

between the Managing Director and all teams. Manage the calendar with foresight , balancing demands and strategically planning ahead to ensure smooth operations. Prepare documents and presentations

with attention to detail and a focus on professionalism. Coordinate events and meetings.

Oversee budget-related tasks

with strong organisational skills, ensuring efficient management. Administer invoices and expenses

promptly, meeting all deadlines. Coordinate travel arrangements

and detailed itineraries. Stay across all ongoing activities within the business, acting as the go-to person for information.

Promote effective collaboration between cross-functional teams

and offices, ensuring alignment and communication. Uphold confidentiality

and maintain professionalism in all interactions and responsibilities. Proactively maintain a log of commitments,

ensuring timely follow-ups and strategic oversight of all key matters. Identify and solve problems,

ensuring smooth office operations and continuously improving processes.

Proven experience in a similar position. Exceptional interpersonal skills, with a friendly and professional demeanour. Ability to build and maintain strong internal and external relationships. Mature and proactive approach, with a strategic lens for identifying and addressing gaps and driving continuous improvement. A go-getter attitude, committed to supporting the Managing Director. Advanced skills in Google Suite would be great. Experience in office management, event coordination, and logistics. Strong proficiency in collaboration and delegation, ensuring efficient task management. Exceptional organisational, project management, and problem-solving skills, with the ability to multitask effectively. Aptitude for thinking quickly and decisively under pressure.
