Executive Assistant Location – Parramatta Employment Type – Full time ongoing position available Salary – Clerk Grade 7/8 - $106,025 - $117,363 per annum plus employer's contribution to superannuation About Aboriginal Housing Office (AHO) The Aboriginal Housing Office (AHO) is a statutory body established under the Aboriginal Housing Act 1998 (NSW) to ensure Aboriginal and Torres Strait Islander people have access to affordable, quality housing.
The AHO is governed by an all-Aboriginal Board, which provides advice to the Minister for Housing in NSW. In addition, the AHO manages and coordinates an annual capital works program, along with developing and implementing financial and resourcing strategies.

Your role The Executive Assistant provides a range of executive, secretarial and administrative support services across a range of complex issues to support the Senior Executive/s and the Chief Executive Officer (CEO) achievement of organisational objectives.

What you'll do As part of the office of the AHO Chief Executive you will:

Act as the first point of contact to the CEO, exercising confidentiality and discretion, triaging issues, prioritising and appropriately referring matters to staff to effectively manage the CEO's time. Manage the CEO's diary, records and correspondence, coordinate travel arrangements and schedule and support meetings, catering or other hospitality arrangements to facilitate the effective management of the Senior Executive/s operational area. Prepare, coordinate and review high level communication including submissions, briefing notes and correspondence, to respond to issues and enquiries. Provide secretariat support for the CEO's office regularly liaising with the executive team and committees to coordinate meetings, agendas, minutes and ensure the efficient flow of information. Support the successful operation of the office by answering and screening telephone calls and other inquiries in a professional and responsive manner, including managing incoming and outgoing correspondence, records, systems and databases. Prepare, collate and coordinate reports, advice and briefings on complex policy and operational matters to support informed decision making and planning. Develop, implement, maintain and monitor office management and administrative systems including data storage and retrieval and maintain the filing system to allow data to be accessed efficiently. Undertake other administrative projects as required, including research and collating information to assist in identifying emerging trends for the notice of the Chief Executive Office. You'll work as part of a small team which consists of working hand in hand across the AHO Executive Office and the AHO Executive Leadership Team. You'll be working in an environment that is as equally passionate as it is fast-paced. You will need a high level of autonomy and a strong ability to self-diagnose and direct work within the office of the AHO Chief Executive. While being a clerk grade, this role carries a high level of influence across the business and we are looking for someone who can assert themselves with empathy; emotional intelligence is key.
