Role purpose The Executive Assistant role will provide executive and administrative support to the Managing Director ANZ, MUFG Corporate Markets. This will include diary and email management, creating, formatting and maintaining PowerPoint presentations, data entry, event planning and team support.


Key Accountabilities and main responsibilities High quality executive support and administrative assistance to the Managing Director ANZ, MUFG Corporate Markets Extensive diary management Co-ordinate dissemination of information to internal parties as required; Plan, coordinate and manage domestic travel, and complex international travel; Prepare PowerPoint presentations for internal and external meetings; Co-ordinate board meetings and papers Proof reading of documents Prepare payment requests including AMEX and staff reimbursements. Manage the approval process; Effective liaison with the EA's of the Executive team; Collate monthly financial reports as required; Internal event coordination; Ad hoc duties, projects, and general administration Accounts Payable including raising and receiving purchase orders in eFinance Maintaining an inventory of stationery supplies for the office and listing items for ordering as required. Maintain Risk & Compliance process and procedure documents Monthly Invoicing including raising invoices, creating backing documents, raising credits, and sending invoices The above list of key accountabilities is not exhaustive and may change from time-to-time based on business needs. Experience & Personal Attributes Tertiary education in Business Administration or other relevant certificates Three to five years secretarial experience in an office/corporate environment supporting management Intermediate to advanced skills in PowerPoint, Microsoft Word, Microsoft Excel, Microsoft Outlook, Visio Preferred experience with Coupa financial systems Strong organisational skills Excellent written and verbal communication skills High attention to detail Strong interpersonal skills and good judgment Ability to: Work independently (unsupervised) Prioritise tasks Communicate effectively and confidently with all members of the team Adapt to change in arrangements Interact at all levels within the organisation and external contacts Promptly respond to requests with accuracy and a courteous demeanour Work proactively to learn, drive outcomes and workstreams Demonstrate being a strong team player, working collaboratively with peers locally and offshore
