Join Our Team: The Executive Assistant to the Group CEO will play a crucial role in supporting the CEO by managing administrative tasks, maintaining schedules, coordinating key initiatives, and ensuring the smooth flow of communication between the executive office and internal/external stakeholders. The EA must be proactive, detail-oriented, and capable of handling sensitive and confidential information with the highest level of professionalism.
What You'll Do: Manage the GCEO's calendar, including scheduling meetings, appointments, and travel arrangements (both domestic and interstate as required). Handle personal and business-related tasks for the GCEO, ensuring smooth operations in both professional and personal matters. Coordinate and organise executive meetings, including preparing agendas, taking minutes, and following up on action items. Ensure timely communication and coordination between the GCEO and senior management, board members, and other key stakeholders. Serve as the primary point of contact between the GCEO and internal teams, as well as external stakeholders, ensuring seamless communication. Draft, edit, and proofread internal and external correspondence, reports, and communications for the GCEO. Assist the GCEO with the management and oversight of high-priority projects by tracking milestones, deadlines, and deliverables. Conduct research on relevant topics, industries, competitors, and market trends to support decision-making processes. Arrange and coordinate detailed travel plans, itineraries, and agendas. Prepare and submit expense reports for approval and reimbursement, ensuring accuracy and compliance with the organisation's policies. What Do We Offer? What is required: Experience in managing relationships with high-level stakeholders. Familiarity with executive governance, board administration, and preparation of board meeting materials. Strong project management skills with the ability to track and follow up on multiple projects and deadlines. Exceptional written and verbal communication skills, with the ability to draft professional correspondence, reports, and presentations. Familiarity with board-level reporting, preparation of board materials, and coordination of board meetings. Strong proficiency with office software, including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and ability to learn other systems. Minimum of 5 years of experience as an Executive Assistant, Personal Assistant, or similar role supporting C-suite executives or senior leaders in a fast-paced environment. You have valid full working rights in Australia. Current Australian Drivers Licence. NDIS Screening Check (or be willing to obtain). Ready to take the next step in your career?
