About the role: As an Executive Assistant to two Partners (one of whom is the Senior Partner), you will provide crucial administrative support that ultimately allows the Partners to be effective and efficient with their responsibilities. This support goes beyond the day-to-day management of calendars, emails, and travel bookings, and extends to support the Senior Partner on business development, client engagement, and other activities. It also requires a self-starter who can support a range of administrative and office management responsibilities for SPP Melbourne and Sydney offices. You will be well-organised, self-motivated and be confident working independently with limited supervision.
Key Responsibilities Collaborate closely with both Partners while exercising autonomy in executive decision-making when the Partners are unavailable. Provide top-tier administrative assistance to two Partners, functioning as an indispensable extension of their roles, taking initiative in task execution and relationship maintenance. Organise and plan tasks, including handling requests, scheduling meetings, managing calendars, and coordinating travel arrangements. Manage internal and external stakeholders efficiently, ensuring balanced time commitments and thorough preparation for Partners. Support Partners with diverse schedules, keeping them organised and on top of administrative requirements and business development activities. Assist with coordination on client-delivery projects including resourcing requests, project set-up, management and close out. Maintain accurate and efficient office information storage and filing systems. Coordinate meetings, manage room bookings, catering, and preparation of materials, ensuring smooth room setup. Handle correspondence and documentation, drafting and distributing letters and emails. Utilise CRM for contact management, business development, and project data updates. Provide timely administrative support, including reconciling credit card expenses and processing reimbursements. Answer office phone professionally, screen calls, and relay messages accurately and promptly. Assist in producing proposals and tender documents, and other documents as required. Skills & Experience Highly organised and proactive contributor with a motivation for achieving team success. Strong attention to detail, communication, and planning skills for effective coordination of routines, meetings, and events. Experience managing stakeholder expectations and balancing priorities to achieve business outcomes. Ability to prioritise, organise, and complete work within deadlines while maintaining professionalism. Client-focused with a genuine desire to assist team members. Ability to maintain confidentiality. Strong written and verbal communication skills, adept at multitasking. Proficient in Microsoft Office products (Word, Excel, PowerPoint, Outlook). Preferred experience in a professional services environment.
