Our client's mission is to build and deliver specialised services to empower Aboriginal young people. They are currently seeking a highly organised and initiative-taking Executive Assistant to join their team and provide comprehensive support to their senior executives.
Role Overview:
As an Executive Assistant, you will play a crucial role in ensuring the smooth operation of their executive office. You will be responsible for managing a wide range of administrative tasks, facilitating effective communication, and ensuring that the executives' needs are met efficiently and professionally.
Key Responsibilities: Executive Support: Provide high-level administrative support to senior executives, including calendar management, meeting coordination, and travel arrangements. Communication Management: Function as a liaison between executives and internal/external stakeholders, handling correspondence, phone calls, and emails with discretion. Meeting Coordination: Assist in Management and Director meetings, organise and prepare materials for meetings, including agendas, reports, and presentations. Attend meetings, take minutes, and follow up on action items. Document Management: Implement and review policies and procedures, maintain staff register, plan staff development schedules. Project Support: Assist in marketing, promotional activity, and digital activity. Office Management: Oversee office supplies, monitor budgets, equipment maintenance, and ensure a professional office environment. Assist in staff recruitment: Onboarding, performance appraisals, transitions, and succession planning. Requirements: Proven experience as an Executive Assistant or in a similar administrative role. Exceptional organisational and time-management skills with the ability to multitask effectively. Strong written and verbal communication skills. Elevated level of discretion and confidentiality. Flexibility to adapt to changing priorities and tasks. Indigenous identified candidates are encouraged to apply.
