Job Description We are currently seeking an enthusiastic and experienced Executive Assistant to support our Executive Director Effective Philanthropy.
You will actively contribute to a high-performing team and drive impact by working productively and efficiently, collaborating closely with other Focus & Enabler areas and Corporate Services as part of our matrix structure and championing our One Minderoo Culture.
Your day to day will include:
Management of ED's emails, ensuring volume is kept manageable, emails prioritised and tasks delegated accordingly. Investigation and follow up of matters on behalf of the ED and where required, making decisions in their absence. Diary management utilising high levels of discretion and judgement to prioritise the ED's commitments and resolving conflicts in a rapidly changing environment. Planning and coordination of often complex interstate and international travel arrangements booked well in advance to capitalise on cost savings and maximise time. Timely processing of financial transactions – Purchase requisition, purchase order, MediusFlow and FlexiPurchase. Qualifications The successful candidate will be well versed in stakeholder engagement and will have previous work experience in a fast paced, agile environment, supporting a senior executive/s.
In addition you will have:
Collaborating and influencing skills with demonstrated ability to build trust, serve as a team player and understand the value of interpersonal relationship building. Strong written and oral communication skills, seamlessly adjusting to different working styles and communicating effectively with all internal and external stakeholders. High level of discretion and confidentiality. Excellent time management to optimise schedules and make the best use of time and resources. Ability to remain calm under pressure, respond positively to change, and perform tasks with care and accuracy. Advanced skills in MS office including Outlook, SharePoint, Excel, PowerPoint, and Microsoft Teams.
