Responsibilities include coordinating travel, managing diaries and expenses, arranging events, and covering reception. You'll also play a key role in maintaining our high standards of client service by delivering exceptional support to key clients.Our Melbourne team primarily operates from the office on a full-time basis. To maximise the cohesiveness and effectiveness of the team, we would greatly value the successful candidate being a consistent presence in the office every day.Key Responsibilities:Provide EA support to three Corporate Finance Managing Directors and their teamsCo-ordinating and arranging all travel; accommodation, transport, venues, catering etcWorking closely with other Executive team members and EAs, while exercising discretion and initiativeProviding assistance and relief support to our receptionist and other EAs when they are on lunch / leave etcExecutive diary management in a fast-paced environmentArranging and supporting at internal functions and external eventsMeeting room bookings and hospitality at our offices, client and staff event co-ordinationPreparing meeting materials, printing and binding.Monthly reconciliation of expenses for the team ensuring adherence to policiesDelivering a high, consistent level of customer service to key clientsAbout YouTo be successful in this role you bring:A minimum of 5+ years' experience with diary management in a complex and fast paced environment, preferably in an Investment Bank, big 4 accounting firm, financial services or top tier law firmA positive, can-do attitude. You are a team player who genuinely enjoys collaborating with others in service of business needsExperience handling confidential information with discretionExcellent administrative, time management and organisational skillsA high level of Outlook proficiency and intermediate to advanced capability with Excel, Word, and PowerPointDemonstrated ability to manage workflow and priorities.
