It is committed to excellence in the education of girls and to maintaining a safe and supportive environment for children and young people.Applications for the following full-time parental leave contract position are sought to commence as soon as possible.Events CoordinatorFull Time, Fixed Term Parental Leave Contract38 hours per weekSt Hilda's School seeks to appoint an Events Coordinator whose primary role is to oversee tasks related to the event planning process and work with internal and external stakeholders to coordinate the set-up and completion of a successful event.Key ResponsibilitiesEventsSupport the Marketing, Community, Enrolment, and Facilities Teams in the delivery of key events.Assist with the coordination and planning of Community events and attendance on behalf of the School when required by the Operations Manager.Liaise with various stakeholders throughout event planning processes, including taking all event inquiries, coordinating function request forms, booking function space, risk assessment coordination, catering requirements, AV requirements, and coordinating meetings of key teams to assist in event delivery coordination prior to events.Create and manage online ticketed events using the School's online ticketing system.Oversee event attendance and seek regular feedback from stakeholders and customers on events if required.Publications and Digital MediaTake photographs and videos of events for social media and publication and manage storage and use.Assist Marketing by creating events content for social media platforms.Coordinate and maintain all event websites, including content updates.Database ManagementAssist Operations Manager and Head of Enrolments with data entry and maintaining the School's database (TASS) of current students, past students, sponsors, and donors in between events.Assist the Operations Manager with promoting community relations activities, including fundraising and community relations events if required.Selection CriteriaSkills & AbilitiesDemonstrated experience in event planning (2-3 years).Competency with Microsoft Office suite, internet, emails, website content management systems, and other software relevant to the role.A professional, confident, and helpful approach.Experience with event coordination and set-ups.Exceptional communication skills (verbal and written).Ability to work independently and flexibly as a member of a team.Willingness to be hands-on and help Community Liaison and Alumni Officer, Foundation Officer, and Head of Enrolments with school, foundation, and community events.Excellent organisational skills and high level of accuracy and attention to detail.Must be able to prioritise and thrive in a dynamic environment under pressure, managing competing deadlines.A 'good eye' and demonstrated visual content creation in the form of photography and videography.Excellent customer service and customer relationship management skills.Knowledge of Workplace Health and Safety responsibilities.Ability to problem-solve and resolve customer concerns.Ability to communicate sensitively and confidentially with stakeholders.Flexibility to work outside the regular school hours to coordinate and attend required events.QualificationsMinimum 2-3 years' experience in coordinating events is essential.Tertiary qualifications at Certificate level (or its equivalent) highly regarded.Paid Blue Card (Working with Children Check).Why join St Hilda's School?Enjoy a passionate community that embraces collaboration and innovation and supports staff wellbeing and professional growth.
