About the role:NHP are currently seeking an experienced Events Coordinator / Executive Assistant to seamlessly manage executive administrative tasks while coordinating high-quality events that reflect the company's standards and values.Reporting to the Managing Director / CEO, your responsibilities will include: Event Planning and Coordination: Meticulously planning, organizing, and executing corporate events, meetings, conferences, ensuring all events are aligned with the company's objectives and branding. Ensure that every detail is accounted for and that each event runs smoothly. Arranging and coordinating services, such as conference facilities, catering, signage, displays, audiovisual equipment, accommodation, transport, and social events for participants, ensuring that all logistical aspects are seamlessly integrated. Organising registration of participants to manage attendance efficiently and effectively. Negotiating the type and costs of services to be provided within budget, ensuring that all financial aspects are managed prudently. Overseeing work by contractors and reporting on variations to work orders, thereby maintaining quality control and ensuring that all contractual obligations are fulfilled. Budget Management: Assist in the preparation and management of event budgets, ensuring cost-efficiency and adherence to financial guidelines. Executive Support: Provide comprehensive administrative support to the Managing Director / CEO, including calendar management, travel arrangements, and handling confidential information. Communication Management: Act as the primary point of contact between the Managing Director / CEO and internal/external stakeholders, ensuring smooth and timely communication. Document Preparation: Prepare, proofread, and edit documents, reports, presentations, and correspondence for the Managing Director / CEO. Meeting Coordination: Schedule, coordinate, and manage logistics for executive meetings, including preparing agendas, taking minutes, and following up on action items. Office Administration: Oversee the day-to-day administrative functions of the executive office, including office supply management and liaising with other departments. Special Projects: Undertake special projects and assignments as directed by the Managing Director / CEO, contributing to the strategic initiatives of the company.
