Records Management & Document Control (Administration & Office Support)Full timeApplication Closing Date: 8th November 2024Purpose of Role: The purpose of this role is to manage and organize customer project documents efficiently while ensuring compliance with standards and regulations. Leading a small team, you will implement and enforce document control policies, maintain version control, and ensure stakeholders have seamless access to accurate information. Additionally, you'll drive continuous improvement of document control processes, enhance technology utilization, and collaborate with other departments to support the organization's documentation needs.Key Responsibilities:Demonstrate 100% commitment to our zero-harm behaviors in support of our drive towards developing a world-class safety culture.Lead and manage a small, geographically distributed document control team.Provide guidance, training, and mentoring for effective document management.Oversee document creation, organization, and maintenance, ensuring proper categorization and version control.Balance leadership responsibilities with individual contributions as a document controls specialist.Implement quality control measures for document accuracy and integrity.Define and leverage document management systems and tools for efficiency.Collaborate with other departments to meet document requirements and facilitate efficient retrieval and distribution.Provide ongoing training to the document control team on processes, tools, and compliance.Generate regular reports on document control metrics, KPIs, and compliance status.Foster continuous improvement and stay current with advancements in document control technology.Other adhoc duties as required.Job Knowledge/Education and Qualifications:Minimum 5 years' experience as a document controller in a project/engineering environment.Minimum 1 year's experience in leadership roles to be considered an asset.Experience with electronic file management and document control systems like Aconex, Team Binder, and others.Demonstrated proficiency in interacting directly with customers, suppliers, and third-party consultants.Computer literacy and hands-on experience with document and project applications particularly with Microsoft Word, Excel, MS Project, Adobe/PDF Editor.Sound organizational abilities.Weir is committed to an inclusive and diverse workplace.
