Customer Coordinator | Mt Thorley About the role WesTrac Mount Thorley is seeking a dedicated Customer Coordinator to join our team.
As the Customer Coordinator , you will act as the primary point of contact between the customer and the workshop to ensure smooth progression of jobs. As this main point of contact, you will coordinate jobs from time of arrival to site through to work completion and invoice. This role involves management of work in progress jobs to ensure they are completed within agreed upon timeframes and within scope/budget.
The Customer Coordinator will be responsible for ensuring an exceptional customer service experience, promoting customer relationship longevity. Through effective communication, you will be required to ensure all maintenance costs and customer needs are satisfied and offer achievable solutions that add value to both the customer and WesTrac. In addition to outstanding customer support, the customer coordinator will participate in continuous improvement strategies to identify potential processes that benefit the team.
Key Responsibilities Represent WesTrac as the single point of contact for customers, developing positive and consistent relationships Create revised quotations and gain customer approval prior to commencement of work variations Communicate with key stakeholders to ensure job progress and expected completion timeframes are translated effectively Conduct work order management and reconciliation including realigning work orders to reflect the quote Review disputed invoices, investigating and resolving any discrepancies Submit approval requests for internal cost allocation whilst effectively maintaining warranty claim processes Maintain work orders and ensure they are invoiced and processed Engage in creating weekly reports to provide information on outstanding work for the business and the customer, and accurately project month end sales Ensure customer repair, delivery and expectations are communicated to the workshop, whilst ensuring completion times and quotations are accurate and reflect the job Skills & Experience Previous experience in a similar role desirable Excellent customer service skills with the ability to develop strong positive relationships with customers Ability to problem solve whilst having well-developed analytical & negotiation skills Excellent communication skills including written, verbal, and interpersonal Computer literacy skills- MS Office Excellent organisation skills with ability to work under pressure and manage multiple priorities at once Ability to work successfully in a team & individually, whilst developing strong working relationships Benefits Free On-Site Parking Made for More Rewards Opportunities for career development 12 Weeks Paid Parental Leave Ability to purchase additional annual leave RDO opt in available Income protection covering you 24/7 Fitness Passport for the whole family Discounted CAT products Wellness Program If you believe you have the skills and experience to succeed in this role, please submit your resume for consideration via the link.
