An exciting opportunity to join our 'Corporate Actions Services' Operations team located in our Melbourne office.
You will be part of a high performing, fast paced and collaborative culture and have the opportunity to work with key stakeholders both internally and externally.
ResponsibilitiesEnsured all Corporate Action Notifications are issued to advisers on a timely basis.Ensured accurate processing of all Corporate Action-related instructions and requests from clients, adhering to established procedures.
Following up client instructions with registries.Balancing all Corporate Action events within specific deadlines and investigating where necessary to resolve Corporate Action discrepancies.Act as an integral point of contact for internal and external clients, building client rapport and actively managing key relationships.Addressed client inquiries in alignment with the company's service offerings, liaising with key stakeholders as necessary to provide comprehensive support.Efficiently managed and responded to email queries from advisers/clients, ensuring timely resolution within agreed service timeframes.Documented and refined the Power of Attorney (POA) procedures to effectively manage clients' queries with registries and other entities.
Provided training to admin staff and shared best practices with the CA team, administrative staff, and the Pas team to ensure accurate and compliant execution of POA-related tasks.Participated in designing and assessing procedures for the automation mail project to ensure timely, accurate, and efficient information delivery to clients, enhancing operational efficiency.Provided comprehensive training, direction, and feedback to administrative staff and temporary EOFY contract team members, ensuring they were equipped with the necessary tools, access, and knowledge to deliver exceptional customer service.Identified and implemented process modifications to enhance customer service, aligning service delivery with client expectations and improving overall satisfaction.Oversaw and motivated temporary contract staff and administrative teams involved in tax, Corporate Actions (CA) procedures, and general administration, ensuring effective support and service delivery to clients.Collaborated with IT mail automation, transitions, and Pas teams to address and meet customer expectations, continuously improving processes through knowledge sharing.Managed dividend payment accruals, income statement reconciliations, and income payment reconciliations to ensure accurate financial reporting and account management.Performed tax reallocations to ensure proper allocation of tax-related entries and compliance with relevant regulations.Actively participated in the CA team to identify and propose process improvements for enhancing client service delivery.Managed Income, dividends, interest, and managed funds distributions, ensuring accurate allocation to clients.
Maintained records of new investments and portfolio updates including investments sales.
Regularly communicated with and updated clients. Proposed procedural improvements in our CA team discussions, leading to collaboration with IT to automate client notifications for CA events, including reminders and updates.Key RequirementsMinimum 3 years' financial services experience in a related position.Experience with Corporate Action processing.Knowledge of Australian securities, Administration of Portfolio balances in IPS.Knowledge of IRESS products and services.Knowledge of Compliance monitoring framework (IPS).Strong communication skills.Experience in IRESS IPS.MS Excel- Intermediate/ advanced skills.Knowledge of domestic and international trading execution and settlement.It is preferred that the successful candidate has:
Knowledge of MDA Operations desirable.Tertiary qualifications highly regarded.$80,000 - $100,000 a year
