The Role We are seeking a Purchasing Coordinator to handle the purchasing function, ensuring efficient procurement, stock flow management, and vendor relations. As the primary liaison between our clients, sales, and warehouse teams, you will ensure seamless order processing, accuracy, and on-time delivery. Using Jim2 software, you will manage the purchasing process end-to-end, ensuring stock is tracked and delivered efficiently.
Key Responsibilities Stock Flow & Procurement Management:
? Oversee stock levels, ensuring accurate tracking of backorders and expected delivery times.
? Manage purchase orders from placement to delivery, ensuring Jim2 system accuracy.
? Monitor and report on stock flow across multiple locations, resolving discrepancies.
? Prepare procurement reports to advise on minimum stock levels and assist in reordering.
Vendor & Supplier Relations:
? Maintain strong relationships with suppliers, handling communications such as follow-ups on stock delays, shipping, and pricing queries.
? Negotiate with suppliers to secure the best pricing, terms, and product quality.
? Resolve invoicing discrepancies and ensure accurate purchase order confirmations.
Operational Efficiency & Problem-Solving:
? Investigate and resolve any warehouse or delivery issues, including missing paperwork or stock discrepancies.
? Ensure all system data, including ETAs and stock levels, are up-to-date in Jim2.
? Provide sales teams with regular updates on stock status and delivery timelines.
Reporting & System Management:
? Use Jim2 software to track purchase orders, manage stock reports, and optimise system efficiency.
Team Support & Leadership:
? Serve as a central point of contact between the warehouse, sales support, and clients for seamless communication.
? Train and support team members in using Jim2 and best purchasing practices.
What You'll Bring • Experience in Purchasing & Procurement within a fast-paced environment, ideally in IT or technology-based sectors.
• Familiarity with Jim2 software or similar ERP systems for managing purchasing and stock flow.
• Excellent organisational skills, strong attention to detail, and a proactive approach to managing stock and supplier relationships.
• Strong communication and negotiation skills with both internal teams and external suppliers.
