About Us: We are a fast-paced, growing company looking for a highly experienced Virtual Executive Assistant to support our founder/director.
This role requires a seasoned professional who thrives in a dynamic environment and is capable of managing a wide range of responsibilities, from high-level administrative tasks to marketing, sales, property management, and even some light bookkeeping. Key Responsibilities:
Executive Support: Provide high-level administrative assistance, including calendar management, travel coordination, email management, and meeting preparation. Marketing Support: Assist in executing marketing strategies such as social media management, content creation, email marketing, and market research. Sales Assistance: Support the sales team by managing leads, tracking sales pipelines, preparing sales reports, and drafting proposals and presentations. Property Management Support: Assist with property-related tasks, including tenant and client communication, property research. Bookkeeping Support: Manage basic bookkeeping tasks such as invoicing, expense tracking, and reconciling accounts. Research & Information Gathering: Conduct research on various topics with minimal direction, including market trends, competitor analysis, and industry news. Project Coordination: Manage multiple projects simultaneously, ensuring deadlines are met and tasks are completed efficiently. Communication: Serve as a liaison between executives, team members, clients, and external partners, ensuring clear and effective communication. Qualifications:
Extensive Experience (5+ years) as an Executive Assistant, Virtual Assistant, or similar role, with a proven track record in administrative support, marketing, sales, and/or property management. Ability to perform basic bookkeeping tasks such as invoicing and expense tracking. Exceptional organizational and multitasking abilities, with the flexibility to shift between tasks quickly and manage multiple priorities. Self-starter who can handle a wide variety of responsibilities with minimal direction. Strong communication skills, both written and verbal, with a professional demeanor when interacting with clients, team members, and external stakeholders. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), as well as familiarity with digital marketing tools (e.g., Mailchimp, Canva). Experience with property management software (e.g., AppFolio, Buildium) is highly desirable. Familiarity with basic bookkeeping software (e.g., QuickBooks, Xero) is preferred but not required. Attention to detail, with the ability to maintain confidentiality and handle sensitive information. Adaptable and willing to take on a variety of tasks as needed. Preferred Experience:
Experience in property management or real estate. Strong digital marketing and social media management experience. Background in sales support and using CRM tools (e.g., Salesforce, HubSpot). Basic bookkeeping or accounting experience. Why Join Us?
