So, what's the role? We're seeking a proactive and confident Board Coordinator to support our General Counsel and Company Secretary, playing a pivotal role in the Governance of Bank First by supporting our Board and its Committees.
In a typical week you will get involved with:
Working with our fab and highly qualified General Counsel & Company Secretary and the other senior leaders across the Bank to coordinate and distribute the meeting agendas, papers, actions, and minutes.
Keeping track of a million things all whilst making it look easy and seamless!Communicating proactively to all and taking a firm but fair approach to ensure everyone meets deadlines for submissions of reports.Jumping in hands on to support the drafting of the annual board and committee meeting agendas, scheduling the meetings, and taking full accountability of the related logistics, for example room bookings, Board catering & restaurant reservations, liaising with external presenters and ensuring smooth technology setups.
All the while, nothing is ever too much trouble, you juggle well and you always remain calm, willing to help and have a genuine smile on your face.Working with Directors to ensure they're prepared; being responsive to all queries they have and supporting any logistical needs, for example travel, accommodation, expenses.Supporting our General Counsel & Company Secretary with other Board Secretariat activities for example the Annual General Meeting, Director recruitment and onboarding, maintaining charters, leveraging your excellent command of the English language to proofread papers and key documents, deploying your deep attention to detail to manage version control & ensure electronic files are kept up to date, and policy review & meeting action registers are accurately always maintained.About you You're the kind of person that everyone goes to because you get things done!
You also proactively pre-empt what needs to be done, problem solve before anyone else has even seen a problem emerging and you always apply strong judgement to ensure everything runs seamlessly, every time.
You thrive on being busy, think nothing of juggling multiple priorities and love building strong relationships across all levels.
You are known for your attention to detail, strong verbal, and written communication skills and above all else your discretion and maturity.
You will come equipped with:
Previous experience in a senior Executive Assistant or ideally a similar Board Coordinator/Company Secretariat role.An understanding of corporate governance, APRA & ASIC related environments (ideally banking), and company secretariat duties.Proficiency with board management software, for example Diligent and the Microsoft suite.Familiarity with ASIC & APRA portals, lodgements and maintaining statutory records would be highly beneficial.To apply If you are looking for purpose and an organisation that truly lives their values every day, we encourage you to apply.
