Within the Administration function, an APS 5 Executive Support Officer is accountable under limited direction to perform and achieve complex administrative support work within an integrated workforce. They are accountable to have and maintain a well-developed understanding of and compliance with relevant legislative frameworks, government decision-making, and Defence's mission and policy requirements. An APS 5 Executive Support Officer will be accountable for organising their workflow and making independent decisions relating to their area of responsibility. They will interpret and provide advice within the administration function area based on legislation, policy, and procedures. The APS 5 Executive Support Officer may coordinate and contribute to the work of a team consistent with a work plan and provide advice and assistance on methods of task completion to team members.

Our Ideal Candidate
To be successful in this role you will:

Provide executive support including front office functions, greeting visitors, receiving, responding to phone calls, emails and general correspondence, managing the appointment diary, and coordinating meeting arrangements for the Senior Executive Service. Liaise with stakeholders and visitors of all levels, building good working relationships and providing a point of contact for assistance and general enquiries. Identify issues, taking responsibility for gaining a clear understanding by listening and asking clarifying questions to others, and applying common sense. Coordinate bookings, room preparation, and rationing for Senior Officer Meetings. Utilise the information available to prepare briefing packs, reports, and papers for senior executives. Display initiative and apply sound judgment in providing executive and administrative assistance to senior executives. Arrange, coordinate and reconcile all aspects of domestic and international travel in line with Defence travel policy for Senior Executive Service Officers.
